About the role
We're looking for a sharp, proactive Executive Assistant & Office Manager to support our NYC-based executives and maintain a warm, professional office environment.
Responsibilities
- Create a warm, professional environment by greeting visitors, setting up conference rooms, and ensuring guests feel well taken care of.
- Keep the office stocked and tidy, including food, supplies, and general upkeep.
- Own and manage calendars for NYC-based executives, proactively resolving conflicts, protecting focus time, and ensuring each day is structured for maximum impact.
- Cook up and coordinate complex domestic and international travel, including flights, hotels, ground transport, and detailed itineraries.
- Prepare meeting materials, agendas, briefing docs, and follow-up summaries.
- Track action items and key deliverables, following up with internal stakeholders to keep priorities moving.
- Serve as a liaison between NYC-based executives and internal teams, investors, and external partners, handling sensitive information with full discretion.
Requirements
- 3 to 5 years of experience as an Executive Assistant or in a similar high-trust operational role, ideally supporting a C-suite executive at a startup, investment firm, or fast-moving tech company.
- Exceptional calendar and time management skills; you anticipate needs rather than react to them.
- Discretion and mature judgment; you are trusted with sensitive conversations, documents, and relationships as a matter of course.
- High EQ and genuine warmth; you read the room and adapt your style to whoever you're supporting.
- Clear, polished written communication with comfort drafting emails, memos, and briefs on behalf of a senior executive.
- Strong organizational instincts with the ability to manage competing priorities without losing detail.
- A proactive, ownership-oriented mindset; you identify gaps before they become problems.
- Comfort with ambiguity and a desire to grow with an early-stage company.

- Experience with Microsoft Office Suite and other productivity tools.
- Knowledge of travel coordination and logistics.
