Executive Assistant II

Responsibilities
- Organize and orchestrate meetings with the Leadership Team.
- Implement and manage standard calendar coordination and scheduling, including resolving conflicts and double bookings.
- Assist with scheduling interviews requiring members of the Leadership Team.
- Coordinate offsite workshops, meetings, and events.
- Set up accounts/profiles, arrange travel bookings, and process, oversee, and follow up on expenses.
- Maintain positive working relationships with internal and external individuals, companies, and groups (e.g., customers, hotels, restaurants).
- Secure approvals and signatures for contracts, NDAs, and other documents.
- Safeguard confidential schedules, correspondence, conversations, and personal information.
- Coordinate visitor logistics, including hotels, transportation, meals, tours, and arrival/parking/entrance information.
- Manage schedule sheets and perform data entry, record maintenance, and data analysis.
- Provide guidance on booking travel, managing expenses, and applying for company credit cards for employees.
- Demonstrate forward-thinking, planning abilities, and critical thinking skills.
- Pursue process improvement and innovation.
- Execute other duties as assigned by Leadership.
Personal Protective Equipment (PPE) may be required, including items such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, bump cap, and a full hazmat suit with a respirator.
Requirements
- High school diploma, GED, or equivalent qualification, or a combination of education and relevant experience. Relevant experience includes a minimum of one year in an administrative support role.
- Preferred: Associate of Arts or Associate of Science in Business Administration or a similar field.
Qualifications
- Minimum of 3-5 years’ experience in a fast-paced, high-volume administrative support, executive assistant, coordinator, or similar role.
- Strict adherence to confidentiality and discretion in all matters.
- Exceptional written and verbal communication skills, including experience supporting or interfacing with staff.
- Professionalism and recognition of the significance of first impressions.
- Proficiency in computer programs, with the ability to rapidly acquire new technological skills.
- Skilled in using Word, Excel, and PowerPoint to craft proposals, facilitate project planning, provide status updates, and deliver executive presentations.
- Ability to excel in a challenging environment with frequent interruptions.
- Preferred: Three or more years of experience in an administrative support role, preferably supporting executive-level associates.
- Preferred: Proficiency in translating between English and Japanese, addressing inquiries, and conveying messages to leaders in both languages.
