About the role

The Opportunity We’re looking for an Executive Assistant I, Annual Giving to support the Assistant Vice President for Annual Giving and Philanthropic Engagement at UCF. This role plays a key part in keeping a high-performing team organized, connected, and moving forward. You’ll manage day-to-day operations, coordinate projects, and support communications that drive alumni engagement and fundraising efforts. This position also serves as a point of contact for donors, volunteers, and campus partners, helping ensure a consistent and professional experience across all interactions.

Responsibilities

  • Executive & Calendar Support Manage a complex calendar for the Assistant Vice President, including donor visits, meetings, and events. Coordinate logistics for internal and external meetings and engagement opportunities.

  • Communications & Correspondence Draft and prepare professional correspondence, including letters, memos, proposals, contact reports, and meeting minutes. Manage incoming communications and respond to general inquiries.

  • Team Operations & Project Coordination Coordinate organizational and operational needs for the Annual Giving team, managing multiple priorities and deadlines. Support project management efforts tied to team goals and engagement initiatives.

  • Donor & Engagement Support Interface with donors and volunteers on behalf of Advancement & Partnerships. Assist with the preparation of proposals and supporting materials.

  • Data, Reporting & Budget Support Prepare Annual Giving metrics and reports for leadership. Enter and manage data within the CRM system. Coordinate budgets, expense tracking, and reporting for the team.

  • Content & Materials Development Draft and edit presentations and team materials, including PowerPoint decks for leadership and external audiences.

  • Student Team Oversight Oversee and coordinate the day-to-day work of student assistants.

Requirements

  • Bachelor's or Master's degree and 2+ years of relevant experience; or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
  • 3+ years of experience providing administrative, operational, or program coordination support in a fast-paced environment.
  • Experience working in a non-profit, higher education, advancement, or a related field.
  • Experience supporting senior leaders, managers, or teams in a collaborative environment, with comfort supporting programs or initiatives beyond a single executive.
  • Strong writing and editing skills, with experience drafting professional correspondence and presentations.
  • Familiarity with CRM systems or databases, preferably in a fundraising or engagement environment.
  • Experience preparing reports, tracking metrics, or supporting data-driven decision making.

Qualifications

  • Ability to manage multiple priorities and meet deadlines with strong attention to detail.
  • Strong organizational and prioritization skills with the ability to adapt quickly and manage shifting deadlines.
  • Strong communication skills with ability to work with internal and external stakeholders, including students, faculty staff, donors, and community members.
