THE ROLE
The Executive Assistant III supports a member of the A+E executive team, serving as one of the primary points of contact for internal and external constituencies for their leader. They also serve as a liaison to senior management teams and external executives. The role organizes and coordinates executive outreach and external relations efforts; and can, from time-to-time, oversee special projects as assigned. They must be able to, at times, work under pressure to handle a wide variety of activities and matters and always operate with the utmost confidentiality, discretion and integrity.
Completes a broad variety of administrative tasks including but not limited to:
- Composing and preparing correspondence that is often confidential
- Arranging complex and detailed travel plans, itineraries, and agendas; supporting the compilation of documents for travel-related meetings
- Liaising with IT and other shared services teams as needed to support varying events and meetings
- Managing an extremely active calendar of appointments; completing expense reports
- Cooking departmental meetings and events
- Coordinate meeting preparation including:Preparing agenda, handling presentations, preparing research, managing materials
- May include some in person component to prep a physical space
- Coordinate coverage and backup to other executive team EAs or for division/department
- Leverage multiple technologies, including AI tools, to support/further your work and streamline processes

- Independently develop timelines and manage orderly flow of tasks and assignments from inception to completion
- Overcomes roadblocks with critical thinking and problem solving, recommends solutions to identified obstacles using sound judgement and does not hesitate or procrastinate when escalating and asking for guidance
- Maintain composure under pressure and approaches challenges with a solutions-oriented mindset
- Collaborative and can work cross-functionally/divisionally
- Is able to be as accountable to team members they may not have a direct reporting relationship to as they are to those they do
- Keep everyone informed of critical information and utilizes other team members as needed to ensure a smooth operation
- Has discretion and judgement, able to manage confidential information
- Thrives in a dynamic environment with shifting priorities
Basic Requirements
- At least 10 years of administrative experience supporting one or more senior executives in a corporate environment
- Strong proficiency in MS Office 365 (Outlook, Excel, Word, Teams, etc.)
Pay and Benefits
Compensation Hourly Pay Range: $49.58 - $57.01 Annual Incentive Target: 5%
The annual/hourly pay range displayed serves as a good faith estimate of the minimum and maximum base pay range for this role. Compensation for the role will be based on a number of different factors such as a candidate’s qualifications, skills, competencies, location, and experience.
