Executive Assistant, Foundation Strategy Office and Africa & India Offices

About the Team
The Foundation Strategy Office (FSO) supports the creation and evolution of the foundation's program-level strategies and explores new paths to impact. This includes strategy development, performance measurement, portfolio management, and special initiatives to accelerate impact. The FSO is a close-knit team that values a positive, humble, and intellectually curious culture.
This role will also support the Office of the President for the Africa and India Offices (AIO) division, working at the intersection of enterprise-wide strategy and regional execution. The AIO team partners with regional leadership to elevate priorities, steward resources, and deliver impact across Africa and India. Joined in January 2026, the Africa & India Division is newly created and offers an opportunity to shape the foundation's impact in these key regions.
This role is based in the Seattle, Washington office.
Responsibilities
- Core Administrative Support:
- Provide executive-level administrative leadership by anticipating needs, managing complex correspondence, orchestrating travel and expenses, and building influential partnerships.
- Coordinate across stakeholders to align the executive’s calendar with priorities, track deliverables, and follow up on action items.
- Represent the assistant community to leadership and act as a consultant on policies impacting assistants.
- Monitor executive engagement and organizational dynamics, providing insights and escalating issues as needed.
- Lead or support high-level visit planning and contribute strategic input during leadership meetings.
- Leverage technology, AI, and automation to streamline support and ensure efficiency.
- Participate actively in leadership meetings, offering strategic insights to support division objectives.
- Calendar Management:
- Deliver high-level support to an executive team member, with potential to support the Chief of Staff or other leaders as needed.
- Independently manage a complex executive-level calendar, aligning the schedule with key priorities.
- Coordinate and schedule high-volume, complex meetings across multiple time zones.
- Support principals in managing their time, priorities, and communications with sound judgment and confidentiality.
- Division/Team Support and Coordination:
- Act as a key liaison between the President, Chief of Staff, and division to ensure smooth communication and workflows.
- Lead coordination with the broader assistant team to organize meetings and activities aligned with team goals.
- Ensure proper onboarding for new assistants and support initiatives to promote team culture.
- Division/Team Events and Logistics Management:
- Lead or support the planning and execution of division-wide and leadership retreats, events, and convenings.
- Provide strategic support for the Chief/President’s role in team events by coordinating briefings and materials.
- Support and coordinate division/team in-country visits and associated onsite meetings.
- Assist in managing division-wide retreats to foster team engagement and alignment.
- Travel, Visa, and Passport Support:
- Manage all aspects of principal travel, including logistics, visas, and security.
- Execute leadership-level trips through comprehensive planning, preparing materials, and providing on-site assistance.
- Serve as a liaison with trip coordinators and prepare detailed travel materials.
- Coordinate on-the-ground meetings, venues, and travel timings to optimize efficiency.
- Communication:
- Exercise exceptional judgment and professionalism in all communications with principals and stakeholders.
- Anticipate needs and ensure leaders are equipped with the right information for strategic decision-making.
- Manage sensitive information with discretion and ensure timely escalation and knowledge sharing.
- Lead proactive, high-impact communications and maintain strong engagement with internal and external partners.
- Represent the Executive and their office in all communications, both internally and externally.
- Business Operations:
- Drive optimization and effectiveness for the division by tracking and coordinating rhythm of the business (ROB) processes.
- Ensure the principal is prepared for chair, board, and CEO engagements by coordinating with stakeholders.
- Coordinate annual governance processes, including scheduling preparatory meetings and supporting the principal during governance periods.
Qualifications
- A Bachelor’s degree or equivalent demonstrated experience.
- Deep knowledge of the foundation’s mission, values, resources, culture, systems, and business strategies.
- Ability to prioritize effectively, manage time precisely, and communicate decisions clearly.
- Advanced knowledge of decision-making on behalf of leaders, aligning with their vision and goals.
- Capability to build relationships and gain the respect and trust of others.
- Experience adapting to dynamic situations and helping others navigate change.
- Experience in an administrative role supporting senior management or executives.
- Experience maintaining organized systems for tracking, monitoring, and prioritizing materials.
- Proficiency in MS Office suite, especially Outlook; experience with AI tools like CoPilot and ChatGPT is strongly preferred.
- Unrestricted work authorization in the country where this position is located (the Foundation does not provide immigration sponsorship for this role).
Pay
The range for this role in Seattle, Washington is $46.92 to $70.38 USD per hour. As a mission-driven organization, we strive to balance competitive pay with our mission.
