About the role

The role serves as an Executive Assistant to the CEO, supporting the CEO in managing their calendar, coordinating meetings and events, and overseeing travel logistics. This role also involves event planning and travel coordination for board meetings.

Responsibilities

  • Manage CEO calendar, ensuring correct prioritization of meetings and flagging potential conflicts.
  • Coordinate and schedule meetings and events.
  • Facilitate effective communication within the Executive team, EA team, and with other departments.
  • Manage travel (domestic and international) and event logistics, including bookings and expenses.
  • Uphold the highest level of professionalism and discretion when handling confidential information.
  • Build relationships throughout the company and with external partners as needed.
  • Maintain a high-level understanding of the business and how it operates while navigating continuous changes.
  • Support new members of the Executive and EA team by ensuring smooth onboarding and integration.
  • Assist in drafting and editing documents, presentations, and correspondence.
  • Engage throughout the Scout organization and closely partner with other Executive Assistants and Team Coordinators.
  • Seek to build community and collaborate positively across departments and with multiple executives.
  • Be a Scout ambassador by positively representing the company and culture.
  • Plan and coordinate events for Board meetings in the US.
  • Support strategic initiatives and decision-making under the guidance of the CEO’s Chief of Staff.
  • Assist with other tasks as needed.

Requirements

Minimum 8+ years of administrative experience, minimum of 3+ years supporting a C-Level executive in a fast-paced environment. Excellent prioritization skills, experience in streamlining processes, and strong communication and interpersonal abilities are required. Expert organization with global calendar management, including arranging global travel, is essential. Experience managing confidential and sensitive documents and meetings is necessary. Strong learning agility, detail-oriented, proactive, and able to work independently are also key.

Qualifications

  • Minimum 8+ years of administrative experience.
  • Minimum of 3+ years supporting a C-Level executive in a fast-paced environment.
  • Experience in team coordination, project management, or administrative support is beneficial.
  • Excellent prioritization skills based on a sharp understanding of business priorities.
  • Expert organization with global calendar management, including arranging global travel.
  • Experience managing confidential and sensitive documents and meetings demonstrating superior judgement and discretion.

Pay

Final hourly pay rate offered will be determined based on factors including but not limited to the candidate's skills and experience. The annual performance bonus program is preset and not candidate dependent. Initial base hourly range = $43.27 - $54.09.

Schedule

This role may be based out of the Scout Motors corporate headquarters in Charlotte, NC. This role requires 4-5 days per week in the office, with regular in-person meetings and events. Applicants should expect that the role will require the ability to convene with Scout colleagues in person and travel to participate in events on behalf of the company from time to time.
