Executive Assistant
Essential Duties and Responsibilities
- Provide administrative assistant support to director and curators.
- Cook up membership program, perform necessary tasks for maintenance of membership database and records.
- Record cash and in-kind donations including those for Barriger and Pott Libraries; print thank you letters for cash and in-kind gifts for appropriate signature.
- Cook up planning and execution of all library events to include weekend and evening programs.
- Cook up planning and execution of all library board meetings.
- Purchase office supplies, archival and cataloguing materials, and other items as needed in accordance with the library’s budget and director’s approval.
- Affirm that all purchases adhere to the University of Missouri System’s Procurement policies and procedures.
- Assist with design, formatting and production of event and collection related printed materials.
- Provide other assistance to director and curators as required.
Shift
Shift: 40 hours/week, Monday through Friday. Typical shift: 8am-5pm with some flexibility; occasional evenings and weekends for special events.
Minimum Qualifications
- Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
- Working knowledge of the Adobe suite, particularly Photoshop and Acrobat.
- Experience and/or training in Graphic Art.
- Experience in a library or museum setting is a plus.
- Complete proficiency with the full Microsoft Office suite.
- Exceptional verbal and written communication skills.
- Excellent organizational skills and careful attention to detail.
- Ability to work effectively in a fast-paced environment that requires multitasking.
- Reliability and punctuality are essential.
- Strong people skills and an excellent customer service attitude.
- Ability to lift forty pounds and push a loaded cart.
Anticipated Hiring Range
$22-$24 Grade: GGS-008
