Position Overview
We are looking for a motivated Executive Assistant to serve as a key partner to our CEO. This role requires exceptional organizational, project management, and communication skills. The ideal candidate will excel at managing a fast-paced calendar, coordinating executive priorities, supporting cross-functional initiatives, and ensuring seamless execution of projects that drive operational efficiency and growth across the organization.
Key Responsibilities
- Manage and coordinate the CEO’s calendar, meetings, and appointments
- Serve as a primary point of contact for scheduling, communication flow, and executive priorities
- Organize, monitor, and assist with email communications, ensuring timely follow-ups on high-priority items
- Track and follow up on action items from leadership meetings, ensuring deliverables are completed accurately and on time
- Aid in creating, maintaining, and executing project management tools and workflows to keep leadership initiatives aligned and on schedule
- Prepare reports, presentations, meeting agendas, and documentation as needed
- Cook up with internal staff and external partners to support smooth day-to-day operations and executive requests
- Support CEO-driven initiatives including operational projects, business development efforts, and strategic planning tasks
- Maintain confidential files and records with accuracy, discretion, and professionalism
- Aid with administrative tasks including correspondence, scheduling, vendor communications, and general office coordination as needed
Qualifications
- Prior experience as an executive assistant, administrative assistant, or office coordinator required (healthcare experience preferred but not required)
- Strong organizational and multitasking skills with exceptional attention to detail
- Excellent communication and interpersonal abilities, both written and verbal
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with EMR or other practice management systems
- Experience with project management software (e.g., Asana, Trello, Monday.com) preferred
- Ability to handle sensitive and confidential information with professionalism
- Ability to anticipate needs, take initiative, and work effectively in a fast-paced environment
- Marketing or social media management experience a plus
