About the role
This position provides advanced administrative support to several C-level members of executive management, serving as an administrative liaison both within and outside the department. The role requires initiative and extensive knowledge of practices and procedures in a highly dynamic, ever-changing environment.
Responsibilities
- Screen incoming calls, field questions, and respond independently when possible; exercise judgment and discretion to monitor all incoming/outgoing communications.
- Maintain and update professional and personal contacts in Outlook.
- Manage calendars, act as a "gatekeeper," and prioritize business and personal meetings for time efficiency, anticipating and resolving scheduling conflicts.
- Coordinate on-site and off-site meetings, including setup and execution of large-scale video conferencing (both in-person and virtual).
- Facilitate corporate event planning under guidelines, including researching, recommending, and securing offsite venues; negotiating contracts; and handling logistics such as food and beverage, guest rooms, team-building activities, audio/visual equipment, vendor proposals/invoices, and travel.
- Assist in creating meeting materials, including agendas and presentations, and manage shipping of materials.
- Coordinate registration, schedule appointments, and arrange details for leader attendance at industry conferences and meetings.
- Plan and execute on-site client meetings, including conference room setup, food and beverage, attendee badges, signage, communications, and evening events.
- Organize comprehensive business travel arrangements (domestic and international), including itineraries, travel documentation, hotel accommodations, air/ground transportation, meal reservations, and entertainment.
- Maintain efficient filing and organization of correspondence, reports, and meeting materials.
- Manage ad-hoc projects as requested.
Requirements
- Bachelor’s degree or equivalent experience.
- 5+ years of administrative experience supporting C-level executive management.
- Availability on evenings and weekends as needed.
- Advanced skills in Microsoft® Word, Excel, PowerPoint, Outlook, and internet navigation/research.
- Outstanding work ethic, professional attitude, and strong communication (verbal and written) and interpersonal skills.
- Ability to interface with all levels of an organization and work independently to assess and improve operational efficiencies.
- Excellent time management and prioritization skills; ability to handle multiple tasks in a fast-paced environment.
- High attention to detail, accuracy, and follow-through; energetic, organized, and proactive with a "can-do" attitude.
