Executive Assistant

About the role
The Executive Assistant provides day-to-day administrative support to the Dean of the NCCU School of Law, performing confidential duties that require sound judgment and serving as the Dean’s liaison to University administrators, faculty, staff, and external entities. The role involves managing the Dean’s calendar, travel, expenses, and communications, as well as preparing correspondence, reports, spreadsheets, and presentations. The incumbent researches and analyzes issues, develops databases and IT applications, and prioritizes all incoming communication. Weekly meetings with the Dean cover additional assignments for the Dean’s suite and the School of Law.
Responsibilities
- Manage and maintain the Dean’s calendar, travel arrangements, and expense reporting.
- Serve as liaison between the Dean and University administrators, faculty, staff, and external stakeholders.
- Prepare, edit, and distribute correspondence, memoranda, reports, spreadsheets, and PowerPoint presentations.
- Research, interpret, and analyze issues for the Dean; develop databases and IT applications to organize information.
- Screen, prioritize, and facilitate all communication (calls, emails, letters) on behalf of the Dean; manage projects as assigned.
- Monitor and reconcile departmental budgets; track travel and office expenditures.
- Process procurement and financial transactions, including purchase orders, vendor onboarding, invoice review, and P-Card reconciliation.
- Enter documentation into PeopleAdmin for new hires, reclassifications, and other HR tasks; serve as liaison between the Law School and University HR.
- Assist in writing and developing content for the biannual Dean’s Report newsletter.
- Manage inventory for the Office of the Dean; facilitate prompt and courteous responses to school inquiries.
- Communicate regularly with Law School staff, administrators, students, and other University departments.
- Coordinate with accreditation agencies, counterparts at other universities, and the campus/local community to explain policies and procedures.
Requirements
- High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or related field and one year of experience; or Bachelor’s degree, preferably in business administration or related field; or equivalent combination of training and experience.
- Knowledge of University travel, HR, and financial policies and procedures.
- Proficiency in Microsoft Office (Outlook, Word, Excel, OneNote, Publisher, PowerPoint) and Banner Finance or equivalent systems.
- Experience with PeopleAdmin or similar HR systems.
- Strong interpersonal, written, and oral communication skills; ability to interact diplomatically in high-pressure environments.
- Excellent planning, prioritization, and organizational skills; ability to work independently with minimal supervision.
- Sound judgment and discretion for handling confidential office duties.
- Flexibility to adapt to changing priorities and extensive public contact.

Schedule
Monday–Friday, 8:00 AM–5:00 PM. Position is fully on-site with a dedicated office at the duty station.
