Executive Assistant
About the Role
Manage the executive's schedules, make travel arrangements to optimize time, and facilitate smooth communications between the executive and coworkers as well as external parties such as media, customers, and the public. Handle confidential information, maintain the security of the executive's records and files, and assist with quarterly Board meetings.
Monitor, review, and approve standard expenditures to ensure office activities are conducted within established budgets. Perform tasks using independent judgment and discretion, including preparing documents and presentation materials, screening and responding to correspondence and inquiries, drafting letters and official information releases, arranging and attending meetings, and taking and distributing minutes. Remain knowledgeable of corporate policy and perform other assigned tasks.
Responsibilities
- Manage executive schedules and travel arrangements
- Gather, compile, verify, and analyze information for executive use in documents (memos, letters, reports, speeches, presentations, news releases)
- Facilitate communications between the executive and internal/external parties (media, customers, public)
- Handle confidential information and maintain security of executive records and files
- Assist with quarterly Board meetings
- Monitor, review, and approve standard expenditures to ensure budget compliance
- Prepare documents, presentation materials, and official information releases
- Screen and respond to incoming correspondence, inquiries, and phone calls
- Arrange and attend meetings; take and distribute minutes
- Remain knowledgeable of corporate policy
- Perform other tasks as assigned
Requirements
- Associate degree or equivalent
- Four years of relevant experience
