Executive Assistant

About the role
Seeking a dynamic, professional, and highly engaged Executive Assistant to provide direct support to the Executive leadership team in daily operations. This role requires experience in prioritizing multiple key tasks, coordinating projects, and managing various requests. The ideal candidate will "own" the role, handle issues professionally and efficiently, and demonstrate a desire to understand business content. Expertise in domestic and global travel coordination, including working with agencies and Concur, is essential. Some travel for organizing and participating in senior-level meetings is required.
Responsibilities
- Organize in-person, hybrid, and virtual activities such as meetings, corporate events, and travel.
- Arrange detailed travel plans and itineraries, including transportation, hotel arrangements, and scheduling.
- Compile documents and reports for travel and related meetings.
- Effectively manage executives' schedules and conflicting priorities.
- Coordinate in-person and virtual meetings, including meeting materials, IT setup, catering, etc.
- Complete monthly travel and expense reports, as well as monthly reports and invoices for executives in a timely manner.
- Prepare highly professional presentations and various Excel reports.
- Manage administrative tasks and routine issues independently, ensuring timely completion with exceptional quality.
- Anticipate and respond to changing situations, resolving issues innovatively.
- Develop and demonstrate a solid working knowledge of the firm’s structure, departments, key staff, and policies.
- Demonstrate strict confidence with highly sensitive and confidential information.
- Perform other duties as assigned.
Requirements
- Minimum of 5+ years of experience as an executive assistant.
- Bachelor’s degree in a related discipline or equivalent combination of education and experience.
- Good knowledge of virtual and digital tools to support hybrid and remote activities.
- Exceptional communication skills and executive phone etiquette (both in-person and virtually).
- Excellent organizational, time management, and planning skills.
- Ability to work in a fast-paced environment with multiple competing tasks and demands.
- Flexible and open-minded to adapt to new environments and approaches.
- High degree of initiative, curiosity, and creative problem-solving skills.
- Experience arranging domestic and global travel.
- Ability to maintain keen attention to detail, multitask, and work well under pressure.
- Proficiency with Microsoft PowerPoint, Excel, Word, Teams, SAP administration, and Concur Expense Reporting.
- High level of interpersonal skills to interact with customers, executives, board members, and individuals at all levels.
- Demonstrated ability to manage highly sensitive and confidential situations with poise, tact, and diplomacy.
- Knowledge of office administrative procedures and standard office equipment.
