About the role

Acelero Learning supports early childhood education programs across the country to create positive outcomes for children and families. As Executive Assistant, you will provide administrative support to the Delegate Vice President and the overall program, initiating and coordinating administrative functions required for effective implementation of program policies. You will use effective organizing systems to support a variety of stakeholders and projects.

Responsibilities

  • Perform daily administrative duties such as answering and screening telephone calls, taking messages, sorting and distributing incoming mail and faxes, copying, collating, and other routine tasks to assist senior personnel and departmental management.
  • Prioritize projects delegated by various staff to accomplish tasks within specified time frames and at a high level of quality.
  • Develop systems to effectively organize information and provide it to others as needed.
  • Communicate information through minutes, email, memos, and other written and verbal correspondence; draft and edit correspondence, reports, forms, charts, memos, and other documents.
  • Assist in the preparation of meeting agendas and materials, distributing such items in advance to members within agreed-upon time frames.
  • Ensure all reports, records, and assigned Master Binders are maintained accurately and promptly.
  • Greet and assist visitors in a courteous and helpful manner.
  • Oversee the operation of office machines including copier, computer, fax, phone, and mail machine.
  • File, store, and destroy old records as instructed.
  • Coordinate purchase requisitions and maintain vendor relationships.
  • Manage inventory and distribution of office supplies for Headquarters.
  • Maintain proper documentation of all expenditures for reimbursements, petty cash, and purchase orders (e.g., receipts, boarding passes).
  • Process check requests and track completion to ensure all invoices and employee requests are completed accurately and timely.
  • Manage the petty cash system by distributing funds to employees as needed and ensuring sufficient funds for all requests in accordance with fiscal policies.
  • Maintain confidentiality of correspondence, documents, discussions, meetings, telephone calls, and staff and family information.

Requirements

  • AA/AS in business or related field.
  • Prior experience with office/general administration.
  • Physical exam and background checks are required for this position.
  • Travel required locally or long-distance up to 10% of the time for work-related meetings and functions.
  • Must have a valid driver’s license and/or reliable transportation.

Pay

$76,000 annually.
