What You’ll Do
- Executive Support: Manage the Firm Owner's calendar, assist with email handling, coordinate travel arrangements, support personal and professional priorities, and prioritize schedules to alleviate administrative burdens.
- Team Coordination: Facilitate internal communications, coordinate office announcements and reminders, and help ensure administrative tasks and operational initiatives stay on track.
- Meeting Preparation: Prepare agendas, build presentations, and schedule necessary team meetings to keep firm operations organized and moving forward.
- Client Experience Management: Manage client touchpoints such as appreciation gifts, surgery boxes, welcome gifts, and other hospitality initiatives designed to enhance the client experience.
- Community Engagement: Help identify, coordinate, and execute community outreach, referral-building, educational, and networking opportunities that strengthen the firm's community connections and local presence.
- Business Growth Support: Assist with special projects, community-facing initiatives, and operational activities that support the firm's continued growth and expansion.
- Event Planning: Organize logistics and coordinate firm events, including Lunch & Learns, staff appreciation initiatives, client hospitality programs, team-building activities, and community gatherings.
- Social Media Support: Provide light assistance in capturing content and supporting the Firm Owner and firm leadership in promoting firm activities online.
- Operational Coordination: Assist with office logistics, coordinate case-related scheduling and medical narrative logistics, and help keep projects, tasks, and operational initiatives moving forward.
What We’re Looking For
- Organizational Skills: Proven ability to manage multiple priorities effectively and maintain detailed oversight of projects, schedules, and operational initiatives.
- Administrative Experience: Previous experience in administrative support roles, preferably within a legal, professional services, or fast-paced business environment.
- Communication Skills: Strong professional communication abilities, both written and verbal, to engage effectively with clients, vendors, community partners, and internal team members.
- Proactive Problem Solving: Demonstrated ability to anticipate needs, solve problems independently, and reduce workload on leadership.
- Resourcefulness & Initiative: Ability to gather information, make recommendations, exercise sound judgment, and execute projects independently without requiring constant direction or supervision.
- Event Management: Experience planning and organizing events, meetings, and community initiatives with strong attention to detail and follow-through.
- Hospitality & Relationship Building: Ability to coordinate client appreciation initiatives, community events, and relationship-building experiences with professionalism and care.
- Attention to Detail: High attention to detail in managing administrative responsibilities, coordinating events, and supporting firm initiatives.
