Executive Assistant (6-Month Assignment)
About the role
We need someone to keep our C-Suite running smoothly for about six months while one of our EAs is out on leave. No ramp-up drama, no “let me get back to you on that” — just someone who can walk in, figure out how things work, and keep the trains on time. You'll be the right hand to one of our key C-Suite members: managing chaos calendars, filtering the noise out of inboxes, and making sure nothing important slips through the cracks.
Responsibilities
- Keeping our exec on track
- Wrangling calendars across time zones
- Reading inboxes like a hawk: prioritizing, responding, and knowing what needs the exec's eyes vs. what doesn't
- Juggling a rotating cast of recurring meetings across the org without dropping a single one
- Booking flights, hotels, and rides — and having a backup plan when things inevitably change last minute
- Getting itineraries and travel docs straight, even when the plan shifts twice in one day
- Getting expense reports and card reconciliations done on time, every time (nobody likes chasing receipts)
- Being the glue
- Acting as the go-between for execs, internal teams, and outside partners — translating and relaying without losing anything in the mix
- Jumping into ad-hoc projects, research, or decks in Google Workspace whenever something needs an extra set of hands
- Other duties as assigned
Requirements
- Real, hands-on experience supporting C-Suite execs — you've done this before and you're not learning on the fly
- Google Workspace fluency, plus comfort with modern expense and travel tools
- Sharp writing and communication skills, obsessive attention to detail, and a vault for a mouth (confidentiality matters, a lot)
- The ability to stay calm and think fast when three things catch fire at once — because they will
- Able to partner and influence at all different levels
- Able to handle multiple priorities and navigate in a fast moving environment
- A relentless drive to get things done
- Flexible, willing, and quick to learn new processes, new technology, and new ways of thinking
Qualifications
- Prolonged periods sitting at a desk and working on a computer
- You must be able to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards
