The Pima County Attorney's Office is seeking an Executive Administrative Assistant to provide high-level administrative support to the County Attorney and Chief Deputy County Attorney. This position performs complex, confidential, and executive-level administrative duties, including coordinating executive calendars and special projects, preparing correspondence and reports, serving as a liaison with internal and external stakeholders, and supporting community relations and public outreach efforts. The successful candidate will be highly organized, exercise sound judgment and discretion, and excel in a fast-paced, professional environment. This is a classification in the unclassified service and is exempt from the Merit System Rules. Essential Functions As defined under the Americans with Disabilities Act, this classification may include any of the following tasks, knowledge, skills, and other characteristics. Provides high-level executive administrative support to the County Attorney and Chief Deputy County Attorney.Coordinates and manages executive calendars, meetings, travel, schedules, and administrative priorities for the County Attorney and Chief Deputy County Attorney.Maintains the highest level of security and confidentiality of information, records, and documents created or encountered in the performance of assigned duties.Screens, prioritizes, and responds to correspondence, inquiries, and requests on behalf of the County Attorney and Chief Deputy County Attorney, as appropriate.Researches, drafts, and prepares executive correspondence, reports, presentations, briefing materials, and other confidential documents independently.Conducts special projects and confidential studies under the direction of the County Attorney and Chief Deputy County Attorney; prepares findings, reports, and recommendations.Reviews administrative reports, studies, and recommendations; evaluates their impact on the County Attorney's Office and recommends appropriate actions.Responds to citizen inquiries and complaints; researches issues, coordinates responses, and facilitates appropriate resolution.Serves as liaison between the County Attorney's Office and County departments, elected officials, governmental agencies, community organizations, businesses, and the public.Plans, coordinates, and participates in community relations, public outreach, and special events on behalf of the County Attorney's Office.Coordinates responses to media inquiries and assists with the preparation of press releases, public information materials, and other communications.Develops, maintains, and improves administrative processes, filing systems, and office procedures to ensure efficient, accurate, and well-organized operations.Supervises, trains, assigns, and evaluates administrative support staff.Represents the County Attorney and Chief Deputy County Attorney at meetings, civic functions, committees, boards, and other events as assigned.Performs other related duties as assigned. Minimum Qualifications Bachelor's degree from an accredited college or university in public administration, business administration, communications, management, law, criminal justice, law enforcement, behavioral or mental health, social work, community outreach, or a closely related field as defined by the appointing authority; AND four (4) years of progressively responsible administrative or executive support experience supporting senior leadership. (Additional relevant education from an accredited college or university and/or directly related experience may be substituted on a year-for-year basis, as determined by the appointing authority.) Qualifying education and experience must be clearly documented in the "Education" and "Work Experience" sections of the application. Ensure the descriptions provided illustrate your competencies, specifically addressing the required and preferred qualifications.): Minimum four (4) years experience providing executive-level administrative support to a chief executive officer (CEO), executive director, attorney, elected official, or other senior executive.Minimum three (3) years experience in a legal office, government agency, law enforcement or criminal justice organization, behavioral or mental health organization, or nonprofit organization.Minimum three (3) years experience managing confidential and sensitive information while exercising a high degree of professionalism, discretion, and independent judgment.Minimum three (3) years experience coordinating executive calendars, meetings, travel, special projects, and executive operations.Experience researching, drafting, and proofreading executive correspondence, reports, presentations, and briefing materials.Experience serving as a liaison with executive leadership, elected officials, governmental agencies, community organizations, and the public.Experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management systems. Selection Procedure Pima County Human Resources Department reserves the right to admit to the selection process only those candidates that meet the minimum qualifications. Candidates meeting the minimum qualifications may be further evaluated/scored against any advertised Preferred Qualifications. The hiring authority will interview and select the successful candidate from a referral list provided by Human Resources. Additional assessments/testing may be required as part of the selection process. Supplemental Information Licenses and Certificates: Valid driver license is required at time of application. Valid AZ driver license is required at time of appointment. The successful applicant will be subject to a 39-month DOT Motor Vehicle Record review to determine applicant’s suitability to operate county vehicles in accordance with Pima County administrative procedures. Failure to obtain and maintain the required licenses and certifications shall be grounds for termination. Any offer of employment resulting from this recruitment is contingent upon Fleet Services’ review and approval of the candidate’s driving record. Special Notice Items: The County requires pre-employment background checks. Successful candidates will receive a post-offer, pre-employment background screening to include verification of work history, education, and criminal conviction history. Some positions may require completion of a satisfactory personal background investigation by the court or law enforcement agencies, due to the need for access to County Attorney and Court facilities, records, and communication systems.
