About the Role
The Administrative Assistant will provide vital support to the Executive Director, Director of Development, and the Director of Business and Finance in their roles. This is a shared position for administrative duties as needed by each position and as allocated by time and priority.
Responsibilities
- Administrative & Communication Support
- Assist all in day-to-day operations and administrative tasks.
- Communicate directly with board members, community partners, business partners, and others as directed.
- Maintain calendars and schedules for each position.
- Draft and send professional emails and other correspondence.
- Maintain office supplies inventory, order, and distribute as needed.
- Maintain office equipment, order, and repair as needed.
- Executive Director Assistance
- Manage calendar of events and set up meetings.
- Host guests as needed.
- Manage office and records retention.
- Development Assistance
- Print the monthly Mission Moments newsletter, sort, and prepare for mailing.
- Input data for bulk mailing with the Post Office and RE Consulting.
- Operate the folding machine and fold monthly letters.
- Prepare donor thank-you call lists for ED, staff, and Board to thank donors.
- Print, copy, and distribute documents as needed.
- Receive and coordinate responses to website contact form submissions.
- Schedule meetings and fundraising events as requested by the ED, DD, or DBF.
- Assist in preparation of grant support data.
- Maintain file of pending estate gifts and update for the annual audit.
- Initiate periodic contact with trustees and ED or DD.
- Business and Finance Assistance
- Assist with HR processes of onboarding, termination, manuals, and payroll management with ProService.
- Post daily transactions using QuickBooks with input from K-2 Accounting.
- Post donation data daily into Bloomerang software.
- Assist in preparing the daily bank deposits.
- Pick up mail from the Post Office.
- Process payroll using QuickBooks and ProService.
- Assist in evaluating program effectiveness and identifying opportunities for improvement.
- Assist with documents needed for the annual audit.
- Pull and file all documents as needed.
Qualifications
- Strong administrative and organizational skills.
- Excellent written and verbal communication.
- Familiarity with spreadsheets, email, Google Workspace, or Microsoft Office, Bloomerang, and QuickBooks.
- Compassionate, mission-driven, and comfortable interacting with diverse populations.
- Aligns with the organization’s statement of faith.
- Ability to work independently and support a team of key executives.

Pay
Hourly rate based on experience. Range: $17 - $22 an hour.
