About The Role
We are seeking a professional, organized, and proactive Executive Administrative Assistant to support two Vice Presidents in Human Resources — the VP of Talent Acquisition and the VP of Talent Development & Inclusion. This role is vital in ensuring the smooth operation of executive functions, handling sensitive information with the highest level of discretion, and facilitating effective communication across the organization.
The ideal candidate will thrive in a fast-paced, globally distributed environment, demonstrating exceptional organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously. The role involves extensive calendar management, meeting coordination, travel arrangements, and handling correspondence. Supporting strategic initiatives and special projects within the HR function will also be part of your responsibilities.
Flexibility with working hours and strong self-management are essential, as you will be supporting executives across different time zones and business units.
Qualifications
- Demonstrated experience supporting one or more Vice Presidents or equivalent at a large, publicly traded company
- Advanced proficiency in Microsoft 365 applications including Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint
- Highly organized, resourceful, and detail-oriented with the ability to manage multiple competing priorities
- Excellent written and verbal communication skills
- Strong discretion and professionalism in handling sensitive information
- Exceptional time management skills with the ability to prioritize effectively under pressure
- Collaborative team player capable of working across multiple departments and geographies
Responsibilities
- Manage and optimize the executives’ calendars, proactively resolving scheduling conflicts
- Plan, coordinate, and organize meetings, including internal, external, leadership forums, and offsites, managing logistics from start to finish
- Serve as the first point of contact for inquiries directed to the Vice Presidents, triaging and routing routine matters appropriately
- Draft, review, and manage correspondence, approvals, and communications on behalf of the executives
- Handle expense reports, Statements of Work (SOWs), Purchase Orders (POs), and develop proficiency with internal tools such as Microsoft 365, SharePoint, and other enterprise platforms
- Prepare comprehensive briefing documents and materials for meetings, business trips, and key engagements
- Cover all aspects of travel arrangements, including booking flights, accommodations, and managing itineraries
- Support special projects and strategic initiatives within the HR department as assigned
- Build and maintain professional networks to support personal development and team collaboration
