We're a trade media organization that runs a 40k person slack channel, the #1 podcast in our industry, delivers massive resources to help founders, and runs nearly 70 events per year designed to create connections and help brands grow. We're looking for a detail-oriented and proactive Events Coordinator based in NYC (or the Metro area) to help with our East Coast and Southern states event operations. You'll work closely with our National Events Manager and VP of Marketing to execute seamless events that connect CPG brands with retailers, investors, and industry professionals. From intimate networking dinners to large-scale trade show activations, you'll be the person on the ground making sure every event in your region runs without a hitch — and lending a hand across the broader team when needed.This role requires frequent travel — expect to be on the road 2–3 times per month or more during busy seasons. Key Responsibilities Event Planning & CoordinationOwn end-to-end planning and execution of East Coast and Southern state events, including networking meetups, Grocery Run activations, founder dinners, and trade show presenceCoordinate venue logistics, catering, A/V setup, and vendor management for all your eventsManage event timelines, run-of-show documents, and day-of coordinationHandle attendee registration, check-in processes, and on-site guest experienceSupport other regions and events as needed — this is a collaborative team and everyone pitches in Vendor & Logistics ManagementResearch and coordinate with venues, caterers, suppliers, and service providers across the East Coast and SouthNegotiate contracts and manage vendor relationships within budget parameters Oversee shipping and logistics for event materials, swag, and branded itemsCoordinate travel arrangements and accommodations for yourself and team members as needed Brand & Community CommunicationsManage brand communications for your events end-to-end: acceptance emails, logistics details, follow-ups, and post-event thank-yousMaintain accurate brand trackers and keep event status current in Notion so the whole team has visibilityBuild and manage event pages, sampling application forms, and attendee lists Administrative & Back-End SupportMaintain detailed event budgets and expense trackingDevelop event materials including signage, name tags, welcome packets, and branded collateral using Canva templatesSupport post-event follow-up, photo sharing, and feedback collectionHelp with ad hoc requests across events and operations as priorities shift Team CollaborationWork closely with the National Events Manager on regional planning and event executionCollaborate with the VP of Marketing on event promotion and community messagingSupport cross-functional teams during major trade shows and conferences Requirements Essential Qualifications2+ years of experience in event coordination, hospitality, or project managementBased in NYC or the NYC metro area — you'll be attending and running events locally and traveling frequently across the East Coast and US SouthStrong organizational skills with ability to manage multiple events simultaneouslyExcellent written and verbal communication skillsProficiency with event management and project management toolsExperience with budget tracking and vendor managementComfortable with frequent travel: 2–3 trips per month or more during busy seasons Preferred QualificationsExperience in CPG, food & beverage/beauty and wellness, or startup environmentsKnowledge of trade show logistics and exhibition managementProficiency with event, project, and collaboration tools (Eventbrite, Accelevents, Google Workspace, Notion, Slack, Peerspace, Taskrabbit, etc.)Experience with attendee management systems and registration platformsBackground in hospitality, customer service, community events, or brand activationsBasic design experience using Canva or similar tools Ideal Candidate TraitsCalm under pressure — able to pivot quickly when last-minute changes happenStrong aesthetic sensibility — understands what feels modern, relevant, and aligned with emerging CPG culture to elevate event experiencesResourceful and solutions-oriented — independently finds answers and navigates challengesHigh initiative — anticipates needs, stays several steps ahead, and takes ownershipExceptional attention to detail — ensures accuracy from run-of-show to signage to vendor instructionsExcellent relationship builder — friendly, warm, and confident on-site & comfortable engaging with founders, buyers, sponsors, and partnersComfortable with ambiguity — able to thrive in a fast-moving startup environmentAble to lift/move event materials as needed (20lb+)Willing to work occasional evenings/weekends for events and trade shows What We OfferCompetitive salary range of $55,000 - $70,000 based on experienceOpportunity to build relationships across the CPG industryTravel opportunities to major trade shows and industry eventsProfessional development in event management and project coordinationRemote-first workplace with a collaborative and supportive team cultureClear paths for growth within our expanding events programMedical, dental, and vision plansRole is remote, but you must be based in the NYC area
