About the role

The Financial Services Event Specialist owns the end-to-end planning, coordination, and execution of events that support OneDigital’s Financial Services business. Reporting to the Event Strategy Manager, this role is the primary driver of tactical execution across client-facing, prospect-facing, and internal programs spanning institutional retirement plans, individual wealth management, institutional executive benefits, and cross-vertical convergence opportunities. The Event Specialist manages the full lifecycle of each event—from initial scoping and vendor selection through on-site execution and post-event reporting—ensuring every event reflects OneDigital’s standards for professionalism, brand consistency, compliance, and attendee experience. This role requires deep event industry knowledge, strong relationships across marketing, compliance, sales leadership, and regional stakeholders, and the judgment to keep events on strategy, on budget, and running smoothly.

Responsibilities

  • Manage the full planning and execution lifecycle for assigned Financial Services events across local markets and national initiatives.
  • Own event timelines, task lists, deliverable trackers, planning documents, agendas, budgets, and stakeholder follow-up from kickoff through closeout.
  • Manage in-person, virtual, and hybrid events ranging from approximately 50 to 500 attendees.
  • Partner with FS Marketing, sales leadership, and regional leadership during event vetting to evaluate proposed events for audience fit and execution feasibility.
  • Coordinate with Director of Strategic Partnerships to confirm event spend aligns with partnership agreements and applicable spending rules.
  • Drive continuous improvement of event planning processes, templates, timelines, vendor workflows, and communication standards.
  • Manage venue selection, contract negotiation, facility logistics, catering, room setup, AV requirements, signage, shipping, registration, attendee flow, speaker needs, and vendor relationships.
  • Serve as the on-site lead for assigned events, overseeing vendor coordination, room readiness, registration, AV, speaker support, attendee experience, troubleshooting, and event closeout.
  • Manage virtual and hybrid event logistics, including platform setup, speaker preparation, run-of-show documentation, attendee communications, and live-event troubleshooting.
  • Build and maintain event registration sites and event web pages using Canva, event platforms, or other available tools.
  • Work directly with local offices, regional leadership, advisors, presenters, sales leadership, marketing, compliance, and director of strategic partnerships to plan and execute events effectively.
  • Manage event invitation workflows, registration pages, event websites, attendee lists, calendar holds, reminders, and RSVP tracking, in partnership with marketing.
  • Partner with marketing to ensure event collateral, communications, and materials are requested, reviewed, approved, and delivered on schedule, with content owned by the appropriate subject matter experts.
  • Maintain productive working relationships with stakeholders at all levels, keeping events on strategy, on budget, and within compliance guidelines.
  • Track all collateral, presentation, agenda, and event material deadlines to ensure required inputs are submitted, reviewed, finalized, and delivered on time.
  • Proof event materials for logistical accuracy, including dates, times, locations, speaker names, agenda flow, registration links, venue details, and attendee instructions.
  • Understand the compliance review requirements applicable to financial services events and ensure the required review and approval workflow is completed for all materials, invitations, presentations, and external-facing communications prior to use or distribution.
  • Maintain working knowledge of who is involved in the approval process—including compliance, marketing, and subject matter experts—and manage those workflows to keep events on schedule.
  • Maintain complete event documentation, including planning timelines, budgets, attendee lists, vendor contacts, invoices, final materials, compliance review status, and event recaps.
  • Coordinate with marketing on post-event activities, including attendee reporting, lead handoff, survey distribution, follow-up communications, and performance recap inputs for the Event Strategy Manager.
  • Provide event-level data and recap materials to the Event Strategy Manager to support program-level KPI tracking and ROI reporting.
  • Travel as needed, up to 50%, to support local market events and provide on-site execution support.

Requirements

  • Proven event management experience, with demonstrated ability to plan, manage, and execute professional, corporate, client-facing, or large-scale business events from concept through closeout.
  • Ability to manage the full lifecycle of an event with a high degree of ownership, organization, and follow-through.
  • Working knowledge of financial services compliance requirements, approval workflows, and the importance of accuracy and documentation in a regulated environment.
  • Excellent written and verbal communication skills, with the ability to interact professionally and credibly with senior leaders, advisors, vendors, sales teams, marketing, compliance, and cross-functional partners.
  • Highly detail-oriented, with strong ability to proof materials, identify gaps, track follow-ups, and ensure deadlines are met across multiple concurrent workstreams.
  • Strong problem-solving skills and composure in live-event situations; solutions-oriented and calm under pressure.
  • Proficiency with the full Microsoft Office Suite and experience using Canva to build event registration sites, landing pages, materials, templates, and signage.
  • Familiarity with event registration platforms, virtual event tools, and standard event industry practices including venue contracting, AV, catering, and run-of-show management.
  • Ability to work effectively in a remote environment with stakeholders across multiple markets and time zones.
  • Professional presence and judgment when supporting client-facing, prospect-facing, senior leadership, and advisor-facing events.
  • Willingness and ability to travel up to 50%, including occasional early mornings, evenings, overnight stays, or extended on-site event days.

Qualifications

  • Bachelor’s degree in business, communications, hospitality, event management, marketing, financial services, or a related field preferred; equivalent work experience may be considered.
  • 5+ years of experience in event management, event planning, meeting planning, hospitality, field operations, or a related business role with significant events responsibility.
  • Experience managing client-facing, prospect-facing, corporate, or professional services events, strongly preferred.
  • Experience working in or with a financial services, retirement plan, wealth management, executive benefits, insurance, benefits consulting, or advisory firm, preferred.
  • Experience managing events in a regulated or compliance-driven environment, preferred.
  • Experience coordinating events across multiple locations, regions, or markets, preferred.

Pay

The typical base pay range for this role nationwide is $70,000 to $80,000 per year. Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
