Job Summary

The Event Manager is an event centric position that shall coordinate, communicate, and manage multiple tasks and events. Supervise patron services and contracted services while providing great attention to detail maintaining high standards of customer service for all facility users. This position requires the ability to work varied hours/days, including evenings, weekends and holidays as needed. Schedule varies and is subject to change. Shifts and hours are based on event requirements and may require event presence and support.

Essential Duties

  • Serves as primary point of contact for client upon contract execution through the end of event.
  • Provides event management leadership across all departments, maintaining strong organizational and communication systems.
  • Ensures event management systems are customer centric and efficiently executed both with client and the internal team.
  • Assembles accurate event invoices and event information between facility and client.
  • Provides accurate post-event information to assist with event close-out processes.
  • Review and implement policies and procedures for Event Services and make recommendations to Director of Sales and Events for modifications as needed.
  • Serve as Manager on Duty for events as scheduled, including nights, weekends, and holidays.
  • Directly manages FOH staff, including hiring, training, coaching, scheduling of all event services staff.
  • Reviews and approves payroll of applicable staff at the end of each pay period, prior to final submission.
  • Ensure all departments are provided with event information in a timely fashion and during events make certain all departments and staff are functioning as needed for event success.
  • Gathers appropriate information from the client including event type, budgeting, space needs, equipment, technical requirements, event timeline, insurance certificates, catering menus and staffing requirements, confirming event setups, meeting client’s expectations for all events.
  • Maintain event safety, fire and health code procedures.
  • Collaborates in the development and coordination of food and beverage functions with the food and beverage department as it pertains to clients’ needs and expectations.
  • Makes sure all event set-ups are in accordance with safety, fire and health code procedures.
  • Monitors event schedules for upcoming events to ensure equipment inventory availability.
  • Coordinates the use of contract security, sworn security and contract first aid services as needed.
  • Must work well and have high standards of communication with all team members.
  • Oversee facility compliance with ADA requirements, making appropriate recommendations for services and accommodations.
  • Attendance during regularly scheduled hours, position will include nights and weekends.
  • Performs other tasks as assigned.
  • Directly supervises event services staff and volunteers.
  • Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Qualifications

  • A demonstrated ability to follow directions and complete assigned tasks with a minimum of instruction and supervision is essential.
  • This position must possess excellent verbal, written and interpersonal skills.
  • A basic knowledge of business management practices and procedures.
  • Ability to compile and maintain records for payroll, personnel scheduling, and event scheduling.
  • Knowledge of procedures and requirements of the entertainment business to ensure good relationships with promoters and performers.
  • Ability to exercise sound judgment and make proper decisions in handling incidents at all types of events.
  • Ability to communicate in a clear and concise manner, both orally and in writing.
  • Proven ability to deal in a professional and cordial manner with the public attending events.
  • Ability to plan, service and supervise a variety of events with the assistance and cooperation of other staff members.
  • Ability to anticipate equipment and other needs for individual events.

Education and Experience

  • Preferred candidate will possess the following: Four-year degree in management, hospitality or business-related field is preferred.
  • Minimum of three (3) years’ experience in hospitality/event management or related field.
  • Other combinations of experience and education that meet these requirements may be substituted.
  • Knowledge of event production and operations including coordinating events with promoters, pre-event planning, organizing physical facility and staffing.
  • Experience and proficiency in all the above essential duties and responsibilities.
  • Proficiency with Microsoft Office Suite and administrative/organizational systems.
