Description

Steele Hill Resorts is seeking a dynamic, enthusiastic, and highly organized Wedding & Events Coordinator to join our team. This individual will play a vital role in the planning, coordination, and successful execution of a wide range of events, including weddings, social gatherings, corporate functions, and special celebrations.

Key Responsibilities

  • Lead and coordinate day-of event logistics for weddings, corporate meetings, social events, and special celebrations, ensuring seamless execution from start to finish.
  • Assist with venue tours, client meetings, detail reviews, and final consultations while building lasting client relationships through clear communication, professionalism, and exceptional service.
  • Serve as a liaison between clients, vendors, resort departments, and third-party partners to ensure all event details are executed accurately and expectations are exceeded.
  • Oversee the setup and breakdown of event spaces, including equipment installation, décor placement, table arrangements, and overall venue presentation.
  • Maintain a clean, organized, and polished event environment at all times.
  • Prepare and distribute Banquet Event Orders (BEOs), process supply orders, maintain event documentation, and coordinate internal communications related to event operations.
  • Assist with negotiating and booking event spaces, responding to inquiries, tracking leads from web, email, and phone channels, and following up with prospective clients to secure new business opportunities.
  • Collaborate with clients and team members on event aesthetics, including floral arrangements, linens, décor, and layout design to ensure each event reflects the client’s vision and resort standards.
  • Provide timely updates to Sales Managers and Directors, gather client feedback, and assist in identifying opportunities for service enhancements and future marketing initiatives.

Requirements

  • Prior experience in event coordination, hospitality, or customer service preferred
  • Strong organizational, multitasking, and time-management skills
  • Excellent interpersonal, communication, and customer service abilities
  • Ability to lift, move, and assist with event setup equipment as needed
  • Flexibility to work weekends, holidays, evenings, and varying schedules
  • A positive attitude with a commitment to delivering exceptional guest experiences
  • Familiarity with BEOs, event sales systems, and hospitality software is a plus
