Event Coordinator (Federal Sector)
About the role
BlueAlly Technology Solutions is seeking an organized and motivated Event Coordinator to plan, execute, and own federal-focused events and trade shows from start to finish. This is an early-career, hands-on role ideal for someone who thrives on logistics and details, enjoys being on the ground at events, and is energized by travel, setup, and the fast-paced nature of show-floor work. The position owns the event lifecycle for federal trade shows, conferences, and partner events from pre-event planning through onsite execution and post-event lead follow-up.
The ideal candidate is highly organized, comfortable with hands-on logistics work, and enjoys collaborating with sales, marketing, and partner teams. Frequent travel is required, including multi-day trips to set up, staff, and tear down events.
Responsibilities
- Own the event process from start to finish — planning, logistics, onsite execution, and post-event wrap-up — for federal trade shows, conferences, and partner events
- Coordinate all event logistics, including venue and vendor coordination, shipping and receiving of materials, and booth setup and teardown
- Travel to event locations to set up and tear down booths and event spaces, and provide onsite support for the duration of each event
- Manage event timelines and checklists to ensure every detail is accounted for and deadlines are met
- Own the budget for each event — tracking costs, processing vendor invoices, and reporting on spend against budget
- Coordinate pre-event promotion, invitations, and attendee or registration tracking
- Capture and organize leads collected onsite, and drive timely follow-up with sales and partner teams after each event
- Maintain a detailed event calendar and project plan across multiple concurrent events
- Order and manage event materials, booth assets, promotional items, and signage inventory
- Track shipping logistics for booth materials and displays to and from event venues
- Support post-event reporting, including attendance, lead volume, and event recap summaries
- Represent BlueAlly professionally onsite at federal trade shows and partner events
- Collaborate with sales, marketing, and alliance teams to ensure events align with business priorities
Requirements
- Bachelor’s degree in Marketing, Business, or a related field required
- 1–2 years of related experience in event planning, marketing, or a similar coordination role preferred
- 2+ years of experience supporting Federal-facing events
- Highly organized with strong attention to detail and follow-through
- Ability to manage multiple event timelines and priorities at once
- Comfortable with hands-on physical tasks such as booth setup, teardown, and moving event materials
- Willing and able to travel frequently, including some overnight and weekend trips, to support the events calendar
- Strong written and verbal communication skills
- A proactive, self-starter attitude with a desire to learn and grow in event marketing
- Comfortable working collaboratively across sales, marketing, and partner teams
- Basic proficiency in Microsoft Word, Excel, and PowerPoint
- Prior experience with trade shows, events, hospitality, or other customer-facing roles is a plus, but not required
Work Conditions
- Full-time, early-career position (40 hours per week)
- U.S.-based role
- Frequent travel required, including overnight and multi-day trips to setup, staff, and tear down events
- Ability to lift and move event materials (up to approximately 30–40lbs) as needed onsite
- Some early morning, evening, or weekend work required based on the event schedule
