About the role

This position supports the WorkDay ERP and is part of the ALL CAMPUS SUPPORT department in the Rogers Park-Lake Shore Campus. It is not split or fully grant-funded.

Responsibilities

  • Develops strong internal and external customer relations through frequent communication and professional, courteous, and ethical interpersonal interactions.
  • Aids faculty, staff, and student organizations in finding and booking meeting space on campus by processing reservations through the scheduling system, 25Live Pro.
  • Builds detailed customer profiles and maintains accurate, organized, and up-to-date event data within appropriate software applications to ensure superior services and client satisfaction.
  • Provides front-end event support, managing allocation of resources and coordinating logistics such as third-party vendors and campus partner involvement to ensure swift and accurate dissemination of details to relevant departments.
  • Prepares weekly, monthly, quarterly, and annual reports as required.
  • Balances operational and administrative needs with those of colleagues and clients.
  • Assigns daily tasks and/or long-term projects for student workers in the absence of the Campus Reservations Manager, or as needed.
  • Answers phone calls and responds to emails in a timely and efficient manner.
  • Fulfills departmental policies and procedures.
  • Follows all safety policies.
  • Performs other duties as required.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience preferred.
  • Minimum of three years event management/hospitality/scheduling experience, additional revenue management experience encouraged.
  • Excellent communication skills, both written and verbal required.
  • Must be able to work independently and as a part of a team and have the drive to succeed.
  • Excellent decision-making ability and analytical skills.
  • Strong organizational skills.
  • Strong interpersonal and problem-solving abilities.
  • Highly responsible & reliable.
  • Ability to focus attention on a variety of tasks.
  • Ability to handle high-pressure situations while balancing upcoming deadlines with long-term project management in a timely and effective manner.
  • Energetic, innovative, and self-motivated.

Computer Skills

  • Proficiency with MS Office Suite.
  • Internet and email applications proficiency.
