This role oversees event logistics, facility scheduling, customer support, and onsite coordination to ensure high-quality experiences aligned with institutional standards. The Event Coordinator serves as the primary liaison between the university and external organizations.

Responsibilities

  • Develop and cultivate relationships with on-campus and external customers.
  • Oversee scheduling, logistical planning, and special resource coordination for academic and departmental events.
  • Develop event plans, timelines, layouts, and logistical documentation based on client needs and facility capabilities.
  • Maintain accurate records of event requests, including scheduling forms, contracts, and surveys.
  • Assist with logistical management of Liberty University’s summer camp programming.
  • Ensure all events adhere to university policies, local regulations, safety protocols, and legal requirements.
  • Assist with facility management and operations of the Champion Center, Summer Camps & Conferences, Liberty Mountain Conference Center, and Weddings @ LU programming.
  • Remain informed about all events held on Liberty University campus.
  • Adhere strictly to Liberty University policies, representing the university professionally.
  • Work effectively as a team member, embracing and fostering LU’s Christian mission.

Senior Event Coordinator Responsibilities

  • Lead the planning and execution of complex, high-impact events including conferences, athletic events, ceremonies, and VIP functions.
  • Assist with data collection, reporting, and assessment metrics for client satisfaction.
  • Conduct pre-event planning meetings and post-event evaluations for continuous improvement.
  • Provide guidance, training, and mentorship to Event Coordinators and support staff.
  • Assist leadership with onboarding and training initiatives for new staff.
  • Contribute to the development and improvement of event management processes and service standards.

Supervisory Responsibilities

  • Event Coordinator: Minimal supervisory responsibilities.
  • Senior Event Coordinator:
    • Supervise 10-15 student workers, CSER staff, and interns.
    • Lead divisional team operations and task management.
    • Assist with onboarding and training for new team members.
    • Oversee complex and high-impact events and logistics.

Requirements

  • Four-year college degree in business, event management, or sport management, or equivalent professional work experience.
  • Well-developed interpersonal and communication skills.
  • Familiarity with standard Microsoft Office software.
  • Knowledge and experience coordinating events, summer programming, or managing facilities.
  • Must be 21 years or older, possess a valid driver’s license with a minimum of five years of documented driving history, and maintain a clean driving record to obtain LU-approved driver certification.
  • Senior Event Coordinator: 2+ years of event logistics or event planning experience.

    • Ability to reason, analyze information, and apply judgment to solve routine and complex problems.
  • Physical and Sensory Abilities:
    • Ability to travel to local and off-campus locations.
    • Frequent sitting for deskwork or typing for extended periods.
    • Regular hearing, speaking, standing, walking, and climbing stairs.
    • Ability to handle materials, reach overhead, kneel, or stoop.
    • Regularly lift up to 10 pounds.

Working Conditions

  • Fast-paced, customer-oriented environment with frequent interactions with internal and external clients.
  • Evening and weekend availability required based on event schedules.
  • On-your-feet onsite coordination during event days, including walkthroughs and support tasks.
  • Work environment includes a climate-controlled office setting with moderate noise levels.
  • Use of personal or LU vehicles required for travel; valid Virginia driver’s license, acceptable DMV record, and liability insurance required.

Pay

$19.23 - $24.04 per hour, determined based on qualifications, experience, education, skills, and certifications, along with university needs and external market conditions.
