Responsibilities

Receptionist Duties

  • Develop and maintain a good working rapport with inter-department staff and other departments within the facility to ensure administrative services meet facility needs.
  • Complete required reports, forms, and other administrative tasks as requested by the administrator.
  • Maintain confidentiality for all resident, administrative, and corporate information.
  • Assist the business office and staff as needed.
  • Ensure administrative offices are clean, safe, and well-maintained, including equipment and supplies.
  • Interact with customers, families, visitors, facility, and corporate staff.
  • Carry out other tasks as requested, including hands-on intervention when required.
  • Practice good personal hygiene and follow the dress code requirements.
  • Provide annual verification of a negative TB skin test as required.

Unit Clerk Duties

  • Fill and deliver routine and emergency requisitions for supplies and equipment from nursing and other departments following established policies.
  • Receive incoming shipments and verify merchandise against packing slips and purchase orders.
  • Organize the storage of supplies and equipment in a safe, clean, and orderly manner to prevent deterioration.
  • Pick up and deliver mail and perform messenger services for the facility as directed.
  • Follow all safety procedures when handling supplies and equipment.
  • Ensure all purchase orders are properly prepared, signed, and submitted according to policies.
  • Keep work areas clean, free of hazards, and adhere to all safety rules and regulations.
  • Identify defective equipment for repair following policies and procedures.
  • Assist department staff in identifying and correcting problem areas to improve services.
  • Perform autoclave duties if required.
  • Attend and participate in in-service education classes and on-the-job training programs.
  • Interact with facility staff and perform other tasks as requested, including hands-on intervention when needed.
  • Work rotating shifts, holidays, weekends, additional hours, and in different positions as the facility’s needs require.

Requirements

  • High school diploma or equivalent with business curriculum.
  • Typing, filing, correspondence composition, and computer skills.
  • Strong organizational skills.
  • Ability to handle a variety of assignments, some of moderate complexity, with familiarity of facility operations.
  • Ability to interpret and apply departmental procedures.
  • Strong, positive interpersonal skills.
  • Discretion in handling confidential information.
  • Sense of accountability and responsibility.
  • Ability to make independent decisions in the absence of a supervisor.
