About the role

The Escrow Officer manages escrow files from receipt through completion, including construction escrow accounts and basic commercial and residential accounts. This role involves preparing complex escrow transactions, clearing curative matters and title exceptions, and conducting all stages of the transaction to ensure smooth and efficient closings. The position requires extensive phone and personal contact for pre- and post-closing tasks.

Responsibilities

  • Meets with attorneys, realtors, lenders, and customers to review and/or draft escrow instructions and agreements for residential and basic commercial closings.
  • Facilitates the objectives of the parties in closing the escrow.
  • Checks title commitments and tax certificates for accuracy, outstanding liens, exceptions, or other title problems that may be cleared prior to closing.
  • Sets up accurate escrow files, including initial filing, deposits, and all relevant documents.
  • Prepares for closing by requesting pay-off statements and figuring loans, lien releases, insurance and legal records, and/or necessary documents to ensure lender instructions align with the purchase agreement.
  • Conducts the execution of closing documents on and off the company’s premises and approves finalized closing statements.
  • Communicates and sends lender packages according to closing instructions.
  • Disburses funds in accordance with standard accounting procedures and customer and lender requirements.
  • Manages and administers trust accounts.
  • Addresses questions and concerns from realtors, attorneys, buyers, and sellers regarding insurance, taxes, title work, foreclosures, and legal documents.
  • Inputs, accesses, and retrieves data relevant to closings.
  • Reviews, executes, and distributes finalized policies and closings.
  • Develops and maintains a client base through effective marketing and by ensuring clients receive exceptional quality and accuracy in products and services.
  • Communicates with company employees and customers by phone, in person, or through correspondence.
  • Supports corporate core values, purpose, goals, and culture.
  • Operates a company vehicle or personal vehicle.
  • Performs other job duties as assigned.

Requirements

  • Four years’ experience, including experience as an Escrow Officer, Escrow Assistant, or other related experience.
  • Passion for working with people, customer service orientation, and ability to create meaningful relationships.
  • Excellent sales and marketing skills.
  • Strong organizational skills with attention to detail and proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and notify others when assistance is needed.
  • Ability to function well in a high-paced environment.
  • Basic to advanced computer skills, including Google Suite or related software, with the ability to learn new programs.
  • Must be at least 18 years of age and have a valid driver’s license.
  • High School diploma or equivalent is required.
  • Must have a Notary commission or receive one within 90 days of starting.
