About the role

The ER Registrar manages patient intake and registration processes in the Emergency Department, ensuring accuracy and confidentiality of patient records while delivering high-quality customer service to patients and their families. This role supports efficient department operations through accurate documentation, insurance verification, and communication across clinical and administrative teams.

Responsibilities

  • Greet patients and families in a professional and compassionate manner, ensuring a positive first impression.
  • Register patients for emergency services, obtaining all required personal, insurance, and medical information.
  • Verify patient identification and insurance details, updating patient records as needed.
  • Obtain patient or family signatures on necessary consent authorization forms, explaining each consent prior to signing.
  • Verify insurance coverage and eligibility, capturing all necessary information for billing purposes.
  • Collect patient co-pays or deductibles when applicable and inform patients of financial obligations.
  • Assist patients with understanding insurance requirements and resolve insurance-related questions.
  • Document reasons if a patient or family member signs consent forms on behalf of the patient, including nursing sign-off when required.
  • Verify insurance and identify proper insurance plan codes to ensure accurate and prompt payment.
  • Compile necessary paperwork for quick retrieval and processing of patient visits.
  • Place an armband on each patient before they leave the department to ensure proper identification throughout their stay.
  • Notify department or physicians of patient arrival and follow up if the patient waits for an extended period.
  • Maintain communication with key personnel during emergency codes and alert the facility when emergency plans are in place.
  • Maintain regular and reliable attendance and comply with all policies and standards.
  • Perform other duties as assigned.

Requirements

  • Post-secondary education or training in medical office administration or healthcare administration preferred.
  • 0-2 years of experience in a healthcare setting, including patient registration, medical office scheduling, or front desk/admissions required.
  • 0-2 years of customer service experience preferred.

Skills

  • Strong communication and customer service skills.
  • Knowledge of insurance verification and basic medical terminology.
  • Ability to maintain accuracy and attention to detail in a fast-paced environment.
  • Familiarity with electronic health record (EHR) systems and registration software.
  • Ability to manage sensitive and confidential information appropriately.
  • Effective interpersonal skills to work with patients, families, and healthcare teams.
  • Ability to remain calm and professional in high-stress or emergency situations.
