About the role

The Ensemble Assistant supports the Mainstage Theater production team through rehearsal support, administrative assistance, and leadership in performance settings. Responsibilities include demonstrating strong technique, leading small group coaching sessions, and managing the tech team. The role involves collaboration with staff, directors, and students on a variety of tasks.

Responsibilities

  • Administrative Tasks (65% of Time):
    • Support and mentor student tech team members (Stage Managers, Social Media Coordinators, Props Makers, etc.)
    • Assist with paperwork for auditions, casting, program creation, and social media
    • Manage rosters and attendance
    • Schedule production team meetings and follow up on action items
    • Perform other duties as requested by the director
  • Attends Auditions and Assists with Casting (10% of Time):
    • Attend auditions and callbacks
    • Provide written feedback for auditionees
    • Support the director in casting by proofing and creating casting emails, cast lists, and communications
  • Attends Production Meetings and Oversees Task Delegation (15% of Time):
    • Attend production team meetings
    • Delegate action items to student, staff, and faculty team members
    • Report issues to the director and use problem-solving skills to address challenges
  • Lobby Setup and Box Office Communication (10% of Time):
    • Set up the lobby (programs, signage, resources, photo booths, concessions, decorations)
    • Coordinate lobby setup with student and faculty/staff members
    • Communicate with the Box Office regarding school sales, group sales, and special ticket needs
  • Additional tasks may include box office assistance, contacting students, tracking costumes, maintaining equipment, writing program notes, publicity (including social media), event planning, and recruiting.

Requirements

  • Bachelor’s degree in business, theater, or graphic design preferred
  • Comfort working in a diverse environment with varied learning styles
  • Proficiency in Microsoft Office, Adobe, Photoshop, email, text, and basic social media
  • Able to lift 30 lbs
