This exciting role will be located in Baton Rouge, LA.
Responsibilities
- Support engineering team with information requests – uploading and downloading documents from the client electronic (or potentially physical) storage system.
- Perform “admin” reviews of technical documents, covering procedural adherence and readability.
- Assist with preparing engineering and technical documents.
- Oversee and support assignment of training for individuals in the client training system; monitor upcoming training due reports and facilitate training for employees in the client system.
- Oversee and support permanent and visitor badge access for employees at various client sites (may require obtaining a client badge or computer access).
- Prepare reports with critical deadlines, including client reports and internal tracking reports.
- Reconcile reports and financial data with other records on file; identify inconsistencies, deviations from policies, and errors; perform appropriate corrective actions.
- Run reports, analyze data, identify potential issues, and propose solutions to project management and engineering teams, respectively.
- Process contracts/amendments/purchase orders.
- Support office administration, invoicing, and recordkeeping.
- Perform other administrative and general duties as required by the division.
Requirements
- Bachelor's Degree in STEM Preferred, Bachelor's Non-STEM generally requires 2 years of experience, or 8 years of equivalent experience in Technical Administrative roles.
- Proficient in MS Office, especially Excel.
- Previous experience in document records control, technical writing, proofreading, and editing preferred.
- Engineering or Utility industry experience preferred.
- Demonstrated professional business aptitude.
- Excellent communicator with the ability to work and communicate across all levels of an organization.
- Excellent written and verbal communication skills.
- Ability to effectively balance conflicting priorities.
- Proactive with excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Ability to comprehend and carry out instructions and follow tasks to completion with minimal direction.
- Team player with positive attitude.
- Ability to travel between 0-5% of the time.
- Ability to secure access to client IT network.
- Must be legally authorized to work in the U.S. without current or future employer sponsorship.
- Employment is contingent upon passing pre-employment and random drug/alcohol screenings, background checks, and annual motor vehicle record reviews per company and client policies.
