Engagement Coordinator

Provides an exceptional experience as the first point of contact for students, employees, and guests both in-person, over the telephone, and by email. Delivers high-level customer service by greeting guests and students professionally, warmly, and welcomingly while supporting overall business efforts. Oversees the front desk environment, performs clerical functions, manages internal meeting and gathering spaces, and ensures campus organization.

Responsibilities

  • Professionally interacts with students, employees, guests, and all departments/divisions within the company.
  • Answers the phone in a timely manner, screens, directs incoming calls, and takes messages.
  • Maintains campus check-in and check-out listings.
  • Provides engaging and informative campus tours to admissions prospects and other guests as assigned.
  • Serves as the liaison for the FS department to set up remote meetings and process payments when necessary.
  • Organizes and maintains the appearance of internal meeting spaces, conference rooms, testing areas, entrances, and other shared areas.
  • Updates necessary forms, conference schedules, and telephone extension lists.
  • Updates all admissions computer applications with prospect information.
  • Assists admissions prospects with completing their EP portals and proctoring admissions assessments.
  • Maintains conference room calendars; assists with scheduling, coordinating appointments, events, and meetings.
  • Oversees and coordinates arrangements for in-house meetings, including catering.
  • Receives, signs for, records, sorts, and distributes daily mail and packages to appropriate persons or departments.
  • Monitors supplies for the postage machine.
  • Maintains the supply closet and kitchen area, ordering general office and kitchen supplies as needed.
  • Places special orders at the request of supervisors or management staff.
  • Performs other duties as assigned.

Requirements

  • High school diploma or general education degree (GED) and two years of related experience.
  • Ability to read, comprehend, and write simple instructions, correspondence, and memos.
  • Ability to effectively present information in one-on-one situations to visitors, students, and employees.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving few concrete variables in standardized situations.
  • Knowledge of Microsoft Office (Word, Excel, Access, and Outlook).

Physical Demands

  • Regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; talk and hear.
  • Frequently required to stand and walk.

  • Must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.

Work Environment

The noise level in the work environment is usually moderate.

Pay

The starting pay range for this position is $18.00–$20.00 per hour.
