Job Summary

The Division of Student Life Employee Experience Coordinator position is responsible for performing and providing guidance on staff and student-related personnel, position, leave, and payroll processes. This role serves as a first point of contact for Student Life departments, advising on HR issues related to University staff, classified staff, temporary employees, retirees, and student employees. The coordinator also advises on general HR questions from Division constituents, including leave, payroll, time-off, hiring, and onboarding.

  • Coordinate and assist with leave-related processes (FMLA/FAMLI/OJI).
  • Liaise with central campus Human Resources Service Center (HRSC) and consult with other Human Resources centers of excellence to coordinate HR services.
  • Support the division by coordinating and assisting with leave audits during terminations/resignations/retirements.
  • Initiate exit interviews for permanent staff.

Responsibilities

Human Resources Transactional Services:

  • Liaise with campus HR Service Center to ensure accurate and timely payroll/personnel transactions for all permanent, student, and temporary staff.
  • Review, correct, and upload payroll from Kronos Dimensions timekeeping system.
  • Hire student employees within the division and review bi-weekly and monthly payroll completed by the HR Service Center.
  • Communicate with Division constituents about HR actions, processes, and procedures.
  • Complete PET forms for Division constituents when needed.
  • Train supervisors and employees on timekeeping systems and best practices for recording time within the Division.
  • Process one-time payments (Additional Pay Form) and upload pertinent documents into personnel files through OnBase.
  • Coordinate and process leave audits when requested or during terminations/resignations/retirements.

Customer Service:

  • Proactively develop constructive and cooperative working relationships with Division constituents.
  • Provide high-level customer service to Division constituents in both email responses and in-person consultations.
  • Create a customer service feedback form to ensure meeting all customers' needs and making necessary changes.
  • Work with Student Affairs HR leadership to identify and set up a ticketing system for HR general inquiries.

Leave Management and Support

Responsible for understanding FMLA/FAMLI/OJI and related leave processes and communicating these processes clearly and easily to employees and supervisors. This includes using pay codes in the Kronos timekeeping system as it relates to the leave types. Supports the administration of FMLA, FAMLI, and OJI programs by providing customer service and guidance to employees via email and in person. Works collaboratively with campus and system partners on leave cases to ensure leave is offered when needed and appropriate resources are given.

Other Duties As Assigned

  • Participate in committees as appropriate.
  • Assist Division payroll team when needed.

This position works a hybrid schedule with at least 3 days a week in the office. This can vary per business needs, specifically events.

What We Require

  • Bachelor’s degree.
  • 1+ years of job-related experience.
  • Strong communication skills, including interpersonal communication.
  • Ability to manage relationships and coordinate workflow with other departmental units.
  • Ability to interpret and explain policies and procedures in a clear and concise manner.
  • Experience working in Higher Education.
  • 2+ years of experience with HR transactional support (payroll support, general HR inquiries).
  • Knowledge and understanding of HR policies and procedures in a University environment.
  • Experience with timekeeping systems (MyLeave, Kronos).
  • Experience in a customer service role.
