About the role
The Economics Undergraduate Advisor position is remote and operates on a set schedule, typically three evenings per week: 10:30am-7:30pm on Tues-Weds-Thurs, and 8am -5pm on Mondays and Fridays. Work hours adhere to Pacific Time.
Responsibilities
- Provides undergraduate advising and student support on all Economics Department majors, minors, and concentrations.
- Maintains and evaluates students' degree and major requirements progress and completion of academic requirements.
- Applies professional concepts to independently provide prescriptive advice and assistance to students on academic and degree progress and major requirements.
- Affords assistance to students in determining a major, alternative academic options, scheduling conflicts, and similar issues.
- Identifies student needs for programs and services and refers students to non-academic resources as appropriate.
- Applies articulated courses to program/degree requirements and certifies degree completion.
- Advises on moderately complex issues such as multiple degrees, or withdrawal from the university.
- Advises students on developing post-bachelor’s plans.
- Acts as a team member and backup to department advisers to lend advising continuity.
- Acts as liaison with appropriate registrar personnel to resolve student records matters.
- Communicates and exchanges information with other units of the organization and makes referrals to help students with their academic program (e.g., health service, disabled students program, colleges/schools, transfer student services, academic departments, etc.).
- Provides information to students on programs with special, clearly articulated eligibility requirements such as honors programs, advanced level courses, independent and field studies, summer session, and education abroad.
- Attends, represents, and advocates for the department at divisional, campus, or UC advising meetings as appropriate.
- Sums up matters and recommends action on complex matters to undergraduate programs director, department manager, faculty, chairs, and other personnel as appropriate.
- Attends meetings and trainings organized by the department and campus advising coordinators as needed.
- Prepares and maintains training materials, job documentation, and departmental best practices in advising.
- Assists the department to determine course scheduling needs for student progression to graduation.
- Provides information to faculty about scheduling procedures and practices and enrollment needs and publishes actual course schedule.
- Uses campus enterprise and department’s office systems to query information, recommend enrollment management.
- Collects, analyzes, and provides statistics on enrollment trends to department management and incorporates analysis in scheduling decisions.
- Drafts schedule each term of all undergraduate, master’s, and Ph.D. courses to ensure time to degree by avoiding course conflicts, facilitating TA support, while ensuring compliance with organization-wide policies.
- Sets up enrollment limits, seat reservations, and other course restrictions; gates enrollment as needed to support student time to degree.
- With the undergraduate programs director, uses analysis and appropriate systems to coordinate enrollment by permission code for special situations.
- With the undergraduate programs director, manages student enrollment for efficient use of classroom space and resources, and ensures students are enrolled based upon established priorities.
- Represents and advocates for the department at scheduling meetings.
- Prepares and maintains training materials, job documentation, and departmental best practices in scheduling.
- Performs administrative duties and special projects as appropriate.
Qualifications
- Bachelor's degree in related area and/or equivalent experience/training.
- Basic knowledge of advising and counseling techniques.
- Cross-cultural competency and interpersonal skills sufficient to work with diverse populations.
- Effective skills in judgment and ability to use discretion on sensitive and confidential matters.
- Strong written and verbal communication skills, including active listening and note-taking skills.
- Strong organizational and planning skills.
- Demonstrated research, statistical, and analytical skills with ability to recall, retrieve, and communicate detailed information quickly, accurately, and clearly both verbally and in writing, including preparation of concise written summaries.
- Attention to detail and accuracy in highly detailed administrative work across multiple systems.
- Excellent record keeping and consistent use of systems.
- Demonstrated computer skills sufficient for preparation and management of a large volume of email, shared documents, databases, and spreadsheets using standard office systems (Microsoft, Google Suite (Drive, Apps), Adobe, Zoom), shared servers, and the ability to learn new systems.
- Ability to work independently with general supervision and as a collaborative team member.
- Knowledge of barriers to student success and intervention techniques to help students overcome difficulties.
