Job Summary
The E-Billing Coordinator is a key member of the E-Billing Team and owns the day-to-day electronic billing workflow for a portfolio of clients across multiple vendor platforms. The role covers the full lifecycle: matter and timekeeper setup, invoice preparation and submission, rejection and appeal resolution, payment tracking, and reporting.
Essential Functions
- Prepare, submit, and monitor electronic invoices across multiple e-billing vendor platforms.
- Set up matters, timekeepers, rates, and budgets in Aderant and vendor portals.
- Generate and validate LEDES files (1998B, 1998BI, XML) to meet client specifications.
- Resolve rejections and appeals with clear, professional communication.
- Maintain tracking spreadsheets and reporting on billing activity, submissions, and outstanding balances.
Required Qualifications
- Minimum three years of e-billing experience in a mid- to large-size law firm, with hands-on proficiency across multiple e-billing vendor platforms (Legal Tracker, CounselLink, Collaborati, TyMetrix 360, Passport, Legal-X, and comparable).
- Working knowledge of Aderant or Elite billing systems.
- Strong understanding of LEDES formats including LEDES 1998B, 1998BI, and XML, and of UTBMS task and activity codes.
- Ability to troubleshoot coding, formatting, and technical issues related to LEDES files and e-billing vendor platforms.
- Excellent written and verbal communication skills, with the ability to correspond professionally with attorneys, clients, and internal stakeholders at all levels.
- Strong organizational skills and the ability to manage competing priorities, follow through on open items, and meet deadlines consistently.

Preferred Qualifications
- Experience with BillBlast or eBillingHub.
- Familiarity with insurance-related e-billing requirements.
- Working proficiency with AI tools and emerging technologies applied to billing operations.
Education
Required: High School Diploma
Preferred: Bachelor's Degree
Required Computer/Software Knowledge
- Hands-on proficiency across multiple e-billing vendor platforms.
- Advanced Microsoft Excel, including VLOOKUP/XLOOKUP, pivot tables, formulas, data validation, conditional formatting, and report reconciliation.
- Intermediate to advanced proficiency with Microsoft Outlook and Word.
- Advanced typing skills (60+ WPM).
Preferred Experience
- Experience with BillBlast or eBillingHub.
- Familiarity with AI tools applied to billing operations.
- Experience with NetDocs.
