About the role

Lerch Bates is seeking a Drafting Scheduler with exceptional organizational skills and the ability to thrive in a fast-paced environment. The Drafting Scheduler works closely with our team of designers to create design schedules, assist with communicating essential information to other members of our company to ensure projects run smoothly and keep track of project progress.

Responsibilities

  • Receive, record, and distribute Work Orders to Designers.
  • Maintain online schedule of all active projects and coordinate scheduling with Designers.
  • Enter project information in unit count spreadsheet, Designer calendars, and tracking software.
  • Manage and verify QA/QC reviews are complete and corrections are provided.
  • Provide reports to evaluate Designer efficiencies.
  • Provide reports from Deltek, including time input details, OT analysis, and WEX charge reports.
  • Provide completion analysis, late vs. on-time, and Designer accuracy reports.
  • Absorb needed project information from consultants and clients.
  • Request required project document access.
  • Provide consultants with email updates detailing project progress, revisions, milestones, revision completion, and correspondence with clients.
  • Receive, log, review, and process drafting Work Orders.
  • Cook drafting needs with the Department Manager and Designers.
  • Confirm scheduled completion dates with consultants.
  • Absorb minor drawing changes.
  • Update completion schedule and master Trello log.
  • Create activity reports – project status, projected completion date, and work projection report.
  • Update schedules daily, based on job status.
  • Provide weekly updates via activity report to consultants on all projects and status.
  • Reassign jobs to meet schedule requirements.
  • Forecast and schedule upcoming week, month, and 90-day lookout schedule.
  • Provide weekly, monthly, and quarterly updates to EVP on area drafting activities.
  • Cook completion of urgent work and revision requests.
  • Maintain software licensing information, expiration, and renewal management, and arrange payments.
  • Load software updates.
  • Maintain asset inventory and replacement schedule.
  • Work with IT to ensure equipment replacements are timely.
  • Clean and maintain the ADST Sharepoint site.
  • Create and manage training process for new Designers.
  • Organize and maintain shop drawing library.
  • Maintain and post PTO schedules, monitor PTO accruals, and personal days required.
  • Develop baseline hours for work hours for projects to assist with scheduling.
  • Provide efficiency data for each designer: hours/unit, hours/project, revision hours, and error data.

Requirements

  • College degree or equivalent experience required.
  • 0-2 years administrative support or scheduling role.
  • Drafting experience required.
  • Complete simple drafting revisions.
  • Intermediate or advanced skills using software: Microsoft Office (Excel, Word, SharePoint, PowerPoint, etc.), MS Outlook, web-based applications, and databases.

Pay

Competitive base salary of $00 - $00 per year, based on experience, qualifications, and location.

Schedule

This position requires prolonged periods of sitting while working at a computer, along with frequent use of hands and fingers for typing and operating office equipment. Employees regularly communicate in person, by telephone, and through virtual meeting platforms. Occasional standing, walking, bending, and lifting or carrying office materials weighing up to 20 pounds may be required.
