Job Summary

The Documentation Clerk supports the Documentation Control team by managing the release, tracking, and maintenance of controlled documents. This role ensures accuracy, organization, and accessibility of documentation across systems and files while supporting internal teams and external vendors.

Responsibilities

  • Release Engineering Change Orders (ECOs), Manufacturing Variances (MVs), and pilot documentation
  • Perform data entry and maintain records across SAP, Access, and documentation databases
  • Track ECOs and MVs to ensure accurate and timely processing
  • Maintain and organize physical and electronic document files and records
  • Assign and log document numbers in accordance with established procedures
  • Verify document accuracy, including revisions, numbering, and release requirements
  • Fulfill print requests via service window and email
  • Convert documents into PDF format for network access
  • Manage service calls for equipment and maintain related documentation
  • Record and submit meter readings
  • Monitor and maintain paper and toner inventory
  • Collapse off-site document storage (Iron Mountain)
  • Collaborate with internal teams and external vendors

Experience Requirements

  • 0–2 years of experience in documentation control, administrative support, or a related environment
  • Experience with SAP and/or database systems preferred
  • Proficiency in Microsoft Office (Word, Access, Excel)
  • Strong organizational skills with high attention to detail

Physical Requirements And Working Conditions

  • Ability to sit for extended periods while working on a computer
  • Occasional standing, walking, and lifting of files or boxes (up to 25 lbs)
  • Office-based role with frequent use of computer systems and printers
  • Fast-paced environment requiring multitasking and attention to detail
