About the role

The Document Imaging Specialist is responsible for accurate and quality document preparation, document scanning, data entry, and quality assurance of scanned documents. This position involves daily processing following established procedures.

Responsibilities

  • Receives incoming documents, identifies, and organizes documents by type, distributes to appropriate staff and/or location.
  • Accurately processes documents into the electronic document management system and/or the electronic health record.
  • Prepares documents for scanning (including determining logical breaks and unitization of hard copy document) by disassembling prior to scanning and reassembling afterward.
  • Reviews both paper and electronic documents, identifies errors, missing indexing elements and coversheets.
  • Accurately processes batches of documents across all systems and ingestion methods.
  • Utilizes scanning software to create batches, uses appropriate batch class and scanner settings to assure proper filing of documents.
  • Accurately tracks daily prep, scanning, quality control, validation, and quality assurance productivity via spreadsheets for statistical reporting.
  • Consistently demonstrates proficiency in all processes and meets production rate to department standards.
  • Identifies and troubleshoots needed maintenance of scanning equipment and malfunctions.
  • Ability to perform repetitive tasks with a high degree of accuracy.
  • Provides support to other team members as needed.
  • Maintains discretion per HIPAA guidelines.

Requirements

Minimum of 3 years related work experience.
