About the role

The Oklahoma Conference of The United Methodist Church seeks a District Administrator to support the administrative operations of the District and serve as the primary connection between local churches, clergy, laity, and the work of the District and Conference.

Responsibilities

  • Serve as the primary point of contact for the District Office, assisting clergy, laity, churches, members, visitors, vendors, and volunteers while maintaining strict confidentiality
  • Cook up district meetings, events, training, Charge Conferences, and Annual Conference activities, including scheduling, securing locations, preparing meeting materials and presentations, ordering supplies, managing virtual meeting logistics, and distributing communications and invitations
  • Maintain and manage district and conference records, including church, clergy, and laity information; clergy appointment paperwork; district calendars; and records collection for closed churches
  • Serve as District Statistician by collecting, interpreting, verifying, and maintaining church statistical data; training clergy and laity on Charge Conference forms, statistical reporting requirements, and database systems; and ensuring the accuracy of all submitted information
  • Maintain and update the conference database, generating reports and providing information and support to district leadership, churches, clergy, and conference staff as needed
  • Support the District Superintendent, District Ministry Supervision Team (DMST), Lay Leaders, and District Lay Servant Director by preparing meeting materials, presentations, budgets, clergy compensation forms, financial reports, and coordinating district training opportunities
  • Process deeds and required documentation related to church closings, including securing church property and facilitating the disposition of United Methodist Church assets in accordance with conference procedures
  • Manage district financial and administrative operations, including processing payables, apportionment payments, deposits, grant administration, and maintaining office supplies and resources
  • Perform other duties as assigned

Qualifications

  • High school diploma required; experience with QuickBooks preferred
  • Previous experience managing an executive calendar and providing customer service required
  • Experience in an accounting, bookkeeping, or financial environment preferred
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Strong verbal and written communication skills with the ability to prepare, edit, and present professional correspondence and information
  • Ability to learn new software systems and technology platforms
  • Strong organizational and multitasking skills with the ability to prioritize responsibilities and meet deadlines
  • Ability to work effectively with diverse groups of people while maintaining professionalism and confidentiality
  • Strong attention to detail and commitment to accuracy

Work Requirements

  • Full-time, non-exempt hourly position
  • Some travel to District and Conference events may be required
