Position Summary
The Transportation Dispatcher's role is responsible for efficiently coordinating the delivery routes, ensuring on time deliveries, regarding the transportation department's, have effective communication with truck drivers, carriers, stores, and all department involves in the operation to ensure a smooth and well-organized transportation process. Assure all the documentation and paperwork for drivers be complete, assign trucks, trailers and dock for load/unload products, GPS route monitoring, assist the drivers in mechanical issues over the road, coordinating with maintenance and repair service to minimize downtimes, ensuring DOT regulations compliance.
Essential Duties And Responsibilities
- Route Planning And Monitoring
- Manage driver schedule time in alignment with demand forecast and seasonal.
- Optimize delivery routes to ensure the most efficient and cost-effective transportation.
- Collaborate with management to modify daily routes to accommodate the needs of the customers.
- Use GPS tracking and fleet management software to monitor the real-time location and status of trucks and trailers.
- Maintain accurate records to demonstrate compliance with regulations, including ELD driver logs, inspection reports pre/post trip.
- Documentation And Reporting
- Prepare all necessary documentation completely and accurately, such as invoices, weight sheets, manifests, return forms, and route information.
- Systematically invoice all daily outbound orders and review that all pickups, returns, BOL's, and cross dock orders are dispatched alongside invoices.
- Ensure that all loads meet Department of Transportation (DOT) weight requirements and communicate with management if the routes do not meet those requirements.
- Send out a report detailing pertinent information on all dispatched loads and any other necessary information that the receiving department will need the following morning.
- Register and capture accurate and timely entry to database detailed information for each load, including, but not limited to, shipment details, check in drive time, dispatch time, time for arrival to store, truck numbers, trailer numbers, dock, driver name, total pallets, and special handling requirements.
- Communication
- Act as communication liaison with the transportation department, carrier companies and El Rancho drivers.
- Cultivate strong relationships with the drivers and customers to reduce the stress that comes along with last minute schedule changes.
- Communicate with operations, accounting, and the IT department on any systemic issues relating to invoicing.
- Effectively communicate with stores or impacted 3rd parties for any late delivery, scheduled appointments, or any issue related to improve the operation.
- DOT And FMCSA Regulations Compliance
- Maintain accurate records to demonstrate compliance with regulations, including ELD driver logs, inspection reports pre/post trip.
- Monitor and manage drivers' compliance with HOS regulations, ensuring that scheduled routes adhere to legal driving limits.
- Communicate regularly with drivers to reinforce the importance of compliance with DOT regulations.
- Report any concerns or issues related to HOS, drug testing, or alcohol testing promptly and appropriately to Sr Transportation Manager.
Education / Experience
- A high school diploma or equivalent; additional education in logistics or a related field is a plus.
- Experience as a transportation dispatcher or in a similar logistics role.
- Bilingual (English and Spanish) a plus.
Physical Demands And Work Conditions
- The work environment is that typical of a distribution center.
- While performing the duties of this job, the employee is regularly required to sit, stand, and use the hands to handle objects, tools, or controls.
- Lifting, pushing, pulling, and/or carrying up to 75 lbs.
- Able to squat, bend, stoop, push, pull, kneel, and reach.
- Must be flexible with work schedule that supports a 24-hour production facility.
