About the Role
Citadel At Casa Scalabrini is seeking a Director of Admissions to welcome incoming guests and assist prospective guests, families, and referring agencies into the facilities following service expectations. This role focuses on internal sales, providing information on the facilities and existing programs by initiating dialogue and maintaining positive relationships with potential guests and current referral sources. The Director of Admissions will work closely with the Business Development Team to drive sales strategies designed to increase and sustain patient/resident admissions in rehabilitation and long-term care.
Responsibilities
- Inform guests of their responsibilities and rights upon admission and ensure the Admission Agreement is executed within 48 hours of admission.
- Ensure all pre-admission requirements are met and applicable documentation is completed and secured prior to admission.
- Partner with the Administrator and Director of Nursing to coordinate clinically and financially appropriate admissions.
- Respond to all admission and re-admission inquiries (phone calls, texts, faxes, emails, tours) and coordinate with others when a referral is made or placement is requested.
- Maintain relationships as a liaison between the facility and regional teams for all necessary patient referral and admission information (clinical, financial, managed care process).
- Communicate with the internal team regarding special patient needs, including medical equipment, physician/case manager objectives, discharge plans, etc.
- Work with residents/responsible parties to obtain missing pre-admission documents and input into PCC, including insurance cards, POA or guardianship paperwork, demographic information, or emergency contacts.
- Generate a courtesy letter with coverage determination and financial responsibilities, and review it with the patient/responsible party.
- Initiate the Medicaid Pending Process when required and ensure OBRA/PASSR is received for all admissions.
- Maintain the Manual Daily Census Tracking Report and reconcile it with the Business Office Manager to ensure accurate census numbers.
- Communicate with internal staff, operations, and Business Development Teams to ensure accuracy of bed availability and maintain the bed roster, including planned discharges, room changes, transfers, and isolations.
- Ensure proper room readiness prior to guest arrival and verify all required DME is ordered or in place.
- Keep the facility tour-ready, provide facility-specific information to clients, offer tour appointments, and train backup associates on facility tours.
- Record all conducted tours as required.
- Participate in marketing efforts with the community, families, and hospital staff.
- Perform other duties as assigned.
Qualifications
- Bachelor’s degree or equivalent, preferred.
- At least 2 to 3 years of prior skilled nursing facility admissions experience.
Skills
- Ability to manage and supervise nursing staff.
- Ability to make independent decisions.
- Ability to read, write, speak, and understand English.
- Meets all health requirements as required by law.
- Ability to relate positively, effectively, and appropriately with residents, families, community members, volunteers, and other facility staff.
- High level of PC literacy preferred (Microsoft Office Suite: MS Word, MS Access, MS Excel, E-Mail, Outlook, Internet Explorer).
- Team-oriented and cooperative.
Physical Requirements
- Walking, reaching, bending, lifting, extended sitting, grasping, fine hand coordination, pushing, and pulling, with or without mechanical aids.
- Ability to distinguish smells and temperatures.
- Limited potential for exposure to environmental hazards.
- Understanding and adherence to company safety standards and protocols required.
