About the Role

Responsible for the scheduling and coordination of diagnostic and interventional imaging patients while validating eligibility and authorization prior to care.

Responsibilities

  • Check-in/Sign-In for appointments and walk-in exams, validating correct patient and exam by utilizing two patient identifiers.
  • Obtain consent for conditions of admission (COA), MSPQ (Medicare) questionnaire, and apply patient identification wrist band as appropriate; scan documents into patient charts.
  • Follow customer service guidelines in greeting and assisting patients with appointments, directions, scheduling, check-in to radiology services, and check-in transfer patients for imaging services from outside hospitals.
  • Schedule imaging appointments and validate outside referrals, enabling patient billing within EPIC.
  • Analyze and appropriately validate billing and insurance coverage, authorization for coverage, and transcription of outside authorizations and orders into EPIC.
  • Perform complex workflows regarding order transcription, knowledge of CPT and billing coding entry.
  • Validate referrals/orders for completeness and appropriateness; communicate with referral sources to obtain additional information as needed for external and internal specialty orders.
  • Provide patient front desk check-in, including assessment for insurance eligibility and scheduling for all modalities.
  • Perform Breast Coordinator functions: create orders for callbacks, schedule next-level exams from Radiologist Results reports, maintain data in the breast coordinator work queue, send out results and reminder letters, and schedule follow-up and callback appointments.
  • Coordinate with multiple departments within AHS and outside facilities to schedule radiology appointments.
  • Mail discs to patients, clinics, hospitals, and private offices.
  • Troubleshoot transfer system issues between programs and PAC’s Cubes (Release of Information).
  • Send mammogram priors to Radiologist for ready-to-read reviewing from Breast Coordinator Template.
  • Pick up and distribute mail between modalities and providers.
  • Offer guidance based on Radiologist-approved protocols to providers for correct coding in referrals and orders.
  • Burn images on disc, upload images from outside facilities, digitize mammogram films, collect and copy personal information (power of attorney, ID, and ROI release forms/letters).
  • Handle emergency calls, stat requests for imaging, troubleshoot for patients, providers, and inter-departmental coordination for patient care in imaging, and answer general inquiries.
  • Perform other duties as assigned.

Requirements

  • High School diploma or equivalent (required).
  • Associates degree or higher (preferred).
  • Two years (or equivalent) of full-time clerical experience (required).
  • Experience with medical imaging scheduling, authorization, and eligibility; medical terminology (preferred).
