Development Program Specialist, Wisconsin Medicine
The Wisconsin Foundation and Alumni Association (WFAA) supports the University of Wisconsin-Madison through private fundraising and alumni relations. This role partners with the Wisconsin Medicine team to advance programs such as the Grateful Patient and Families Program and the Initiative to End Alzheimer’s, as well as departments including Surgery, Neurosurgery, and Ophthalmology. Hybrid schedule with at least two days per week in the office.

Responsibilities
- Donor Relations and Stewardship
- Assist with comprehensive donor stewardship, including gift acknowledgements, milestone recognition, and impact reporting in collaboration with campus partners, development directors, and the Wisconsin Medicine stewardship team.
- Collaborate with gift fund administrators and meet quarterly with development directors to review pending stewardship steps.
- Create custom stewardship materials for donors as requested by department directors.
- Document stewardship activity in the 4Ward chart of accounts.
- Enhance and implement new donor engagement opportunities.
- Coordinate stewardship programs within the unit.
- Plan, implement, and manage events with the Wisconsin Medicine and WFAA events team to cultivate new prospects and strengthen donor relationships.
- Coordinate logistics for the Initiative to End Alzheimer’s Board of Visitors.
- Support donor visits by preparing materials, handling logistics, greeting guests, and addressing miscellaneous needs.
- Serve as a donor contact for gift processing and inquiries.
- Campus Partnerships
- Serve as a point of contact for campus inquiries about WFAA policies and procedures, fostering mutually beneficial relationships.
- Participate in meetings and activities with campus partners to support development goals.
- Respond to or triage questions from campus partners regarding unit gifts and funds, escalating issues as needed.
- CRM and Reporting
- Generate and utilize financial reports for gift information requests from development directors or campus partners.
- Collaborate with the business intelligence team to refine and customize lists for mailings, invitations, and donor recognition.
- Maintain contact updates, donor biographic information, and constituent management duties in the database.
- Manage advisory board memberships, donor recognition society memberships, and affiliated groups within the constituent database.
- Serve as a resource for development directors on database navigation and best practices.
- Office Administration
- Schedule and coordinate complex meetings.
- Manage direct mailings for stewardship projects, solicitations, announcements, and event invitations.
- Provide advanced administrative support for development needs.
- Identify and assist in implementing process improvements.
Requirements
- Bachelor’s degree or equivalent combination of education and work experience.
- 1+ year of relevant work or internship experience.
- Excellent verbal and written communication skills with strong attention to detail.
- Experience designing creative visual content using programs like Canva is desired.
- Ability to prioritize tasks, act independently, and apply appropriate urgency to achieve results.
- Strong customer service mentality and proactive, persistent, and flexible approach.
- Professionalism, tact, poise, and diplomacy in interactions with internal and external constituents.
- Ability to remain calm under pressure, manage competing tasks, and maintain confidentiality.
- High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with database reporting and constituent relationship management software preferred.
