Development Coordinator
Job Description
The Development Coordinator supports the Senior Associate Director of Communications and Stewardship in various activities within the Development and Alumni Relations department at the Weitzman School of Design and the Dean’s Suite.
- Create and send email invitations and alumni communications in Marketing Cloud system, including event communications and Weitzman’s bi-monthly Alumni Newsletter.
- Maintain event registration in DAR’s IModule system.
- Attend regular meetings and trainings for Marketing Cloud, Compass, and IModules users.
- Pull reports and coordinate accurate lists for alumni and donor communications.
- Aid frontline gift officers in formatting and sending proposals as needed.
- Aid with operations for alumni engagement, cultivation, and stewardship events as needed, including venue research, catering management, floorplan creation, IT coordination, and submission of Smartsheets for facilities.
Special Events
Supports the creation of briefings for select events, leads registration, and assists with event setup and breakdown.
- Place calendar holds for faculty and staff for DAR events.
- Maintain DAR team events calendar.
- Place orders for swag for events.
Board Relations
Oversees the administration and planning for the Board of Advisors meetings and dinners, including venue research, catering management, attendance coordination, email reminders, taking minutes, printing materials, and organizing presentations.
- Manage catering, reservations, attendance, email reminders, and take minutes for meetings.
- Print and organize materials for meetings.
- Organize and present at meetings.
Stewardship
Aids the Senior Associate Director of Communications and Stewardship in preparing and sending impact reports through Marketing Cloud and Compass, and in sending letters of acknowledgement and preparing stewardship gift mailings.
- Send letters of acknowledgement on behalf of the Dean and track in Compass.
- Prepare stewardship gift mailings, including sending and tracking birthday and holiday cards.
- Update Compass database with contact information, board affiliations, and donor activities.
Gift Processing
Processes all gifts received directly to the Department and prepares gift agreements.
- Attend team weekly acknowledgement meetings and coordinate reallocation of gifts with Central.
Office Coordination
Orders office supplies as needed, processes team reimbursements and vendor invoices, and serves as the point person for financial services, including onboarding new vendors and processing expense reports.

Qualifications
- High School Diploma and 5-7 years of experience or equivalent combination of education and experience is required.
- BA/BS preferred.
- Strong computer, interpersonal, and communication skills.
- Attention to detail and exceptional organizational skills.
- Ability to work collaboratively contributing to a total team effort.
- Proficiency in the use of the Microsoft Office Suite (Word, Excel, etc.) and complex database systems.
- Clear and engaged communication skills.
- The ideal candidate will have a curiosity for learning best practices for development and alumni relations and will proactively partner with a variety of departments across all departments at the School.
- Must be able to work some nights and weekends.

Pay Range
$21.52 - $26.67 Hourly Rate
