About the role
The City of Palm Springs is seeking a Deputy City Clerk to join their team. This position plays a crucial role in maintaining official City documents, insurance tracking, and conflict of interest code coordination.
Responsibilities
- Plans, directs, and coordinates the maintenance of all City documents including ordinances, resolutions, contracts, and meeting minutes.
- Provides exemplary customer service to all individuals, ensuring responsiveness, fairness, and respect.
- Certifies copies of City documents and records.
- Aids in preparing, complying, and implementing retention and destruction schedules according to legal mandates and government codes.
- Serves as a records management resource liaison to City departments.
- Analyzes and evaluates technology relative to records management.
- Administers storage, location, and retrieval of inactive documents and monitors the work of record consultants.
- Administers insurance tracking of contracts.
- Centralizes coordination of required conflicts of interest code records and filings.
- Assists in developing enhanced technology in all program areas of the City Clerk's Department.
- Assists with general department organization, maintains office supplies, and supports functions as necessary.
- Assists with communication and distribution of election materials to the County Registrar Office.
- Performs related organizational duties and responsibilities as required.
Requirements
- Three (3) years of increasingly responsible analytical clerical experience in a City Clerk's Office, municipal government, or other public agency with emphasis on records management.
- High School Diploma or equivalent education.
- Specialized records management training including indexing, retention, retrieval, and destruction of optical images is preferred.
- Direct customer contact experience working with the public is preferred.
- Possession of, or ability to obtain, an appropriate, valid California driver's license with a satisfactory driving record.
- Designation as a Certified Municipal Clerk (CMC) from the International Institute of Municipal Clerks is preferred.
Qualifications
- Experience in a City Clerk's Office, municipal government, or other public service agency.
- Training in records management including indexing, retention, retrieval, and destruction of optical images.
- Experience in direct customer contact with the public.
- Valid California driver's license with a satisfactory driving record.
- Designation as a Certified Municipal Clerk (CMC).
