About the role
We are seeking a Depot Manager to lead and manage 3 to 6 distribution yards across North America. This role involves inventory management, strategy development for market penetration, and direct collaboration with Sales to align company goals. The Depot Manager will travel regularly to each location (approximately 18 to 36 visits per year) and oversee all site activities, providing updates and recommendations to the Distribution Operations Manager.
Responsibilities
- Employee Management:
- Ensure all employees are properly trained and have the resources needed to complete their jobs.
- Manage time off requests and schedules through our HRIS system in coordination with the Yard Coordinator.
- Perform quarterly reviews of Yard Coordinators and take appropriate action when needed.
- Partner with Yard Coordinators to assess quarterly reviews from Forklift Operators.
- Onsite Management:
- Travel to all assigned distribution yards and develop an approved travel schedule.
- Book cost-effective travel using a company-issued credit card.
- Manage time efficiently while traveling and maximize activities during site visits.
- Prepare and maintain detailed reports of site visits, documenting activities, observations, and follow-up actions.
- Inventory Management:
- Ensure inventory accuracy, proper packaging, and positioning.
- Enforce regular inventory counts to verify physical counts match the inventory in 365.
- Spot-check inventory counts when onsite.
- Monitor inventory turnover (oldest shipped first) and develop strategies for slow-moving items.
- Ensure all pallets are properly packaged and stored according to Techo-Bloc standards.
- Create designated, debris-protected areas for marketing materials.
- Work with Yard Coordinators on yard layouts to improve loading and unloading efficiencies.
- Distribution Image:
- Maintain high levels of cleanliness in yards and warehouses.
- Ensure the team keeps the yard free of debris (e.g., shrink wrap, bags, connectors, pallets).
- Identify and propose repairs for areas needing attention.
- Secure lawn maintenance and office cleaning contracts as required.
- Customer Orders:
- Fulfill orders, partial pallets, and sample requests for customers and sales reps.
- Educate the team on product quality expectations for orders and samples.
- Validate orders are completed within the allotted time frame and maximize productivity.
- Monitor loading accuracy and implement plans to reduce/eliminate errors.
- Administrative Duties:
- Receive invoices, order supplies, and create purchase orders.
- Approve and forward monthly invoices to the AP department promptly.
- Approve purchase requisitions from Yard Coordinators and place orders for site supplies.
- Receive POs in 365 and attach appropriate information for AP processing.
- Safety:
- Ensure a safe work environment for employees and customers.
- Maintain accurate forklift certification records for the team.
- Purchase required PPE and train the team on proper use.
- Meet with local municipalities and fire marshals for yearly compliance inspections.
- Equipment Maintenance:
- Keep records and schedule maintenance for equipment.
- Ensure the team completes daily onsite maintenance (e.g., grease chains, check tire pressure and fluids).
- Secure vendors for maintenance and repairs to existing equipment.
- Ensure all equipment is regularly cleaned, maintained, and in optimal working condition.
Requirements
- Certifications/Licenses: Valid Driver’s License.
- Education/Experience: High school diploma or equivalent; five to seven years of related experience and/or training.
- Language Ability:
- Ability to read, analyze, and interpret business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports and business correspondence.
- Ability to effectively present information and respond to questions from groups, clients, customers, and the public.
- Computer Skills: Knowledge of word processing software, spreadsheet software, internet software, database software, and contract management systems.
