Primary Duties And Responsibilities
- Provide administrative assistance to the Math Assistance Area.
- Oversee the efficient and professional daily operation of the Math Assistance Area (MAA).
- Maintain an atmosphere conducive to study.
- Alert the Assistant Director of any issues such as inappropriate behavior in the MAA, and need for extra or specialized staff or reference material.
- Represent Math Assistance when the Assistant Director is unavailable.
- Provide day-to-day program support which includes assisting students with MAA procedures such as signing in and out, checking out resource materials, scheduling appointments, and answering phones.
- Serve as initial contact person for questions concerning MAA services, math courses, Tutoring and Academic Support Center (TASC) workshops, math placement review and testing, interpretation of scores, resources to prepare for courses, and for students with special needs.
- Compile and maintain a reference manual of current math and physics courses, prerequisites, textbooks, staff, faculty and college department contact information, standard MAA policies and procedures, and staff schedules.
- Maintain a record of staffing changes such as substitutions, late arrivals, and extra time worked to meet demand for services, and provide the MAA Assistant Director with a weekly staffing report.
- Inform Assistant Director of upcoming staffing needs.
- Coordinate student requests for help with an appropriate academic assistant.
- Monitor timed sessions as necessary to ensure all students are seen in a reasonable time.
- Orient academic assistants to MAA procedures and policies, computer software and recordkeeping aspects of their position.
- Aid academic assistants in fulfilling duties and responsibilities.
- Inform academic assistants of mandatory college-wide training and track completion.
- Update and monitor student and registration data in a tracking software system using information retrieved from the college student record system.
- Assist in monitoring MAA program usage by students using the tracking system software.
- Distribute surveys and tabulate results.
- Help maintain up-to-date distribution lists and databases.
- Help design and distribute program publicity, informational brochures and flyers.
- Maintain confidential material, data and files.
- Periodically check database input information for accuracy and make corrections as needed.
- Advise the Assistant Director of unresolved database problems.
- Establish and implement new job-related procedures as needed.
- Provide appropriate support to the other areas of the TASC, as needed, including assisting students in determining the one or more services in the TASC which meet their needs.
- Other related duties as assigned.
Qualifications
- High School graduate required.
- Associate Degree preferred.
- Minimum one (1) year of previous office experience in public setting required.
- Proficiency in written and spoken English required.
- Experience working well in a fast-paced, service-oriented office; proven ability to prioritize work required.
- Perform multiple, detail-oriented tasks with constant interruptions required.
- Prioritize work required.
- Proven experience in exercising good judgment, while being empathetic required.
- Ability to consistently respond in a professional manner in all situations required.
- Experience working with underrepresented, under prepared and disabled individuals preferred.
- Experience with conflict resolution preferred.
- Problem solving skills a plus.
