About the Role

Under the direct supervision of the Dental Office Manager or Dental Contact Center Supervisor, facilitate a timely and orderly process of serving patients from appointment and provider scheduling to completion of office visit information. Assist other staff functions in support of members' needs.

Responsibilities

All Dental Facilities

  • Effectively communicate with members and other office employees.
  • Provide and request information from other departments and external firms.
  • Assist other staff members and providers as needed to ensure orderly and efficient patient care.
  • Explain to patients how they can access information (e.g., Information Center, benefits office).
  • Represent Kaiser Permanente in a positive manner.

Dental Offices Only

  • Receive patients during check-in and check-out processes.
  • Maintain the current daily schedule, documenting arrivals, cancellations, and reschedules.
  • Instruct new patients to fill out Health Questionnaire and Personal Data Form.
  • Verify and update personal data on Visit Slips.
  • Determine, explain, and collect fees for services rendered according to patient benefits, fee schedules, and cash handling policies.
  • Monitor the reception area to ensure prompt attention for all patients.
  • Collect and review visit slips for proper completion and patient treatment status.
  • Confirm future appointments.
  • Enter visit slip data into the computer, including treatment details, payments, billing, waivers, and further treatment needs.
  • Schedule patient appointments with providers according to established guidelines.
  • Cancel and reschedule appointments as necessary.
  • Answer staff questions regarding the daily schedule and relay pertinent information affecting treatment or patient flow.
  • Verify the printed schedule against the computer for errors.
  • Ensure all dental records are available according to the updated printed schedule and respond to chart requests.
  • Screen requests for emergency schedules and appointments according to established guidelines.
  • Notify auxiliary staff of emergencies and route OPD-requests to appropriate personnel.
  • Complete the missing visit slip report and ensure all visit slips are accounted for.
  • Receive calls for office staff and relay messages according to office policy.
  • Maintain a clean and neat reception area and lounge.
  • Check, bundle, and return records to the Dental Record Center.
  • Complete retained chart forms for any charts held at the facility.
  • Balance the cash drawer, complete bank deposits, and perform other cash duties.
  • Respond to emergencies in accordance with established guidelines.
  • Answer Health Record Pull General Update (HPGU) requests and send charts to other clinics as necessary.
  • Inventory business office supplies and forms.
  • Perform other duties as assigned by the Dental Office Manager.

Dental Contact Center/Staff Scheduling Center Only

  • Schedule patient appointments and maintain awareness of department performance targets.
  • Receive patient telephone calls and schedule initial and return appointments according to established guidelines or treatment plans.
  • Confirm, cancel, or reschedule appointments as requested.
  • Screen requests for emergency care and schedule according to guidelines.
  • Relay pertinent information regarding same-day appointments to individual facilities.
  • Initiate chart requests for urgent-need patients.
  • Maintain thorough knowledge of provider scheduling protocols.
  • Respond helpfully to dental office staff regarding appointment schedules.
  • Perform other duties as assigned by the Dental Contact Center Supervisor/Lead Person.

Requirements

  • Six (6) months of health care/dental care experience or six (6) months of cash handling and/or customer service experience in a high-volume environment. (Per the National Agreement, current KP Coalition employees have this requirement waived.)
  • High School Diploma or General Education Development (GED) required.
  • Excellent verbal and written English communication skills.
  • Excellent organizational skills, flexibility, and ability to switch tasks frequently.
  • Professional telephone and patient reception manner.

Preferred Qualifications

  • Two (2) years of dental office experience.
  • Dental office and computer skills.

Notes: Salem required, Eugene preferred.

Pay

$24.41 - $29.77 / hour. Kaiser Permanente strives to offer a market-competitive total rewards package and is committed to pay equity and transparency. The posted pay range is based on possible base salaries for the role and does not reflect the full value of the total rewards package. Actual base pay determined at offer will be based on labor market data, internal alignment, and a candidate's years of relevant work experience, education, certifications, skills, and geographic location.
