Dental Front Office Receptionist (Bilingual) - Part-Time and Full-Time Positions Available

About the role

We are seeking a Dental Front Office Receptionist to perform clerical and client services tasks, including greeting, registering, and processing scheduled and unscheduled clients. A key responsibility is ensuring clients feel welcome in the reception area.

Schedule

  • Mondays, Tuesdays, Wednesdays, Fridays, and Sundays: 8:00 AM – 5:00 PM
  • Mondays, Tuesdays, Wednesdays, and Thursdays: 5:00 PM – 9:30 PM
  • Saturdays: 8:00 AM – 5:00 PM

Evening and weekend shifts (4 hours) with direct patient contact include a 10% pay differential in addition to regular salary. Evening differential is paid only for completed 4-hour shifts beginning after 4:00 PM.

Responsibilities

  • Greet and assist all clients in the waiting room, manage appointments, and communicate expected wait times.
  • Maintain a professional demeanor and answer inquiries regarding general clinic information.
  • Utilize customer service skills to answer incoming calls, schedule appointments, route calls, and provide information.
  • Confirm next-day appointments, process cancellations, and reschedule as needed.
  • Process walk-in appointment requests according to established procedures.
  • Provide alternative medical service information for new clients when scheduling is unavailable.
  • Schedule follow-up appointments or mail letters per provider requests.
  • Transfer calls to internal extensions, page overhead to locate staff, and assist with paging as necessary.
  • Schedule and maintain appointments in the Electronic Health Records System (EPIC), including handling phone requests and client discharge.
  • Inform patients about payment obligations, required documents, and clinic policies while demonstrating excellent customer service.
  • Accurately enter and confirm billing and demographic data in EPIC during check-in, capturing vital data and authorized signatures.
  • Verify arrival timelines and collect new patient private pay deposits.
  • Prepare charts and superbills for appointments for both new and established clients in advance.
  • Maintain control of daily superbill copies and reconcile them with Master Superbill Control Sheets.
  • Handle patient payments and ensure accurate reconciliation of receipts and charges.
  • Report needs for repairs or maintenance to appropriate staff.
  • Maintain a clean and orderly patient waiting room during clinic hours.
  • Perform other projects or duties as assigned.

Requirements

  • High School Diploma or Equivalent (GED) required.
  • Previous dental front office and/or clerical experience preferred.
  • Previous experience with Electronic Health Records (EPIC) preferred.

Skills

  • Immediate and advanced knowledge of computers and the Windows environment.
  • Basic knowledge of Microsoft Office products (Excel, Word, PowerPoint).
  • Word processing skills at a minimum of 45 WPM.
  • Bilingual skills in Spanish required.
  • Excellent customer service skills.
  • Strong communication and professionalism in interactions with the public and within the organization.
  • High level of initiative, attention to detail, and ability to follow through on assignments independently.
  • Ability to handle multiple, competing tasks and manage workflow effectively.
  • Ability to prioritize assignments and patients as needed.
  • Ability to handle confidential personnel issues with tact and sensitivity.
  • Proficiency in standard business practices, including mailing, faxing, and filing.
  • Excellent interpersonal and telephone skills.

Physical Requirements and Working Conditions

  • Fulfill immunization and fit-for-duty regulatory requirements.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Use of mouse, keyboard, and headset.
  • Moderate to loud noise and intermittent interruptions.
  • Ability to lift up to 15 pounds at times.

Pay

Minimum: $25.00/hour | Maximum: $29.25/hour
