Staff Management/Operation

Plan the Dental Office operations to ensure excellent patient support services.
Attend meetings, trainings, and/ or seminars as it pertains to department, clinic, and program goals and objectives.
Staff training, and assurance that all staff have the necessary tools and resources to fulfill their job duties, including onboarding.
Cookordination of work tasks. Oversee daily activities and provide direction and guidance to staff as needed.
Motivate and provide support to Dental personnel to demonstrate timely service of patient care, and resolve patient conflicts.
Monitor work flow to maximize productivity.
Reduce patients’ wait time, respond to patient inquiries, and increase patient satisfaction.
Recruit patients from all other services to Dental Department.
Assist with patient care activities, including but not limited to, scheduling, confirmations, telephone calls, electronic charting, data input, arranging and following up on referrals, and provide oral health education.

Overseeing Front and Back Office

Monitor the cleanliness, safety and organization of the Dental Clinics.
Monitor all the dental patient schedule templates at assigned sites. At least two days in advance of schedules, work with dental operator to fill up all the templates with an adequate number of patients with a balance of payer mix.
Document all issues and report them to the Clinic Manager and/or Dental Practice Manager.
Perform all RDA functions as described in Registered Dental Assistant job description.
Ensure staff coverage for timely breaks and meal periods is provided to all the staff.
Avoidance of understaffing and overstaffing.
Perform all the assigned tasks by Clinic Manager, Dental Practice Manager and/or Dental Director.
Identify areas of improvements and concerns, suggest appropriate corrective action to Dental Practice Manager.
Perform inventory control management to support cost reduction initiatives, and maintain adequate supplies.
Monitor daily completed Dental Assistant tasks are completed properly and in a timely manner.
Maintain office equipment and furniture.
Follow through on any maintenance repairs.
Work in collaboration with other departments when required.

Compliance and Reporting

Order and maintain dosimetry badges for all Dental staff.
Cookordinate all x-ray sensor repairs and replacements.
Oversee that all the necessary documents are scanned to the EDR.
Other duties may be assigned or may be modified as business needs dictate.
Compliance with all applicable federal, state, local and center rules, regulations and protocols, including but not limited to personnel issues, work place safely, public health and confidentiality.
Absolutely comply with HIPAA and OSHA guidelines.
Assist Dental Practice Manager and Dental Director with administrative duties and assignments.
Ensure and maintain that all permit certifications and compliances are up to date and in good standing.
Provide excellent customer service.
Prepare and conduct MHLA, all dental insurance plans audits, prepare reports as needed.
Reporting: Run and create all assigned reports.
Run Quality monthly dashboard measures and report them to Dental Director and/or Dental Practice Manager.
Obtain and organize peer review reports.

Outreach and Education

Attend and participate all outreach activities, and promote oral health education and prevention at different venues as assigned.
Ensure full coverage of shifts through staff scheduling in assigned clinics.
Maintain and update required weekly, monthly, and/or quarterly data collection reports.
Participate in appropriate health promotion/ disease prevention activities, both on-site and off-site as required.
