Responsibilities
- Provides assistance, phone and desk coverage, daily calendar and read ahead binder, travel support for SPO.
- Coordination of calendars and schedules, preparation, formation, and/or finalization of official correspondence that includes: letters, memoranda, interoffice communications, and staff summary sheets, sensitive or classified reports, as required.
- Provides general administrative support to the SPO which requires coordination of calendars and schedules, preparation, formation, and/or finalization of official correspondence that includes: letters, memoranda, interoffice communications, and staff summary sheets, sensitive or classified reports, as required.
- Aids in the preparation of time and attendance reports for the office by means of an automated system. Resolves problems with this automated system, as well as responds to routine and non-technical requests for information such as reports, suspense dates for matters requiring compliance, forms required to accomplish or request actions in the assigned Division/Directorate, status of actions, and similar information normally available from the files.
- Interacts with other internal DCSA directorates and sometimes outside agencies on a normal basis, as required.
- Trained and proficient with Microsoft Office Suite, Power Point and able to create a wide variety of documents such as reports, spreadsheets, plan of action and milestones, presentations and information located in SPO’s internal database that may contain controlled unclassified information and/or classified information.
- Maintains and populates various databases and spreadsheets with data and information in support of SPO.
- Utilizes spreadsheets to track suspense actions and manage workload, facility assignments, and other activities as needed; maintains SPO requests, as required.
- Assists in the monitoring of SPO task management systems spreadsheets and Correspondence and Task Management System (CATMS), or other means to track internal and external suspense actions and provides assistance to the assigned Action Officers in determining active, near overdue or overdue actions for each SPO division; responsible for advising and sending reminders to management on lead time or addressing upcoming issues.
- Required to provide advice on effective management of workload and assignments.
Qualifications
- Bachelor's Degree in area related to the position
- TS/SCI Clearance
- 2 years of experience in a directly related position
